JOB TITLE: Assistant to the Chief of Police

SALARY RANGE: $69,000 - $80,000

JOB DESCRIPTIONThe Assistant to the Chief of Police and Administrative Officer shall perform administrative duties by performing difficult and varied secretarial functions. Primary responsibilities listed below as well as other duties as assigned by the Chief of Police.

ESSENTIAL FUNCTIONS PERFORMED- Process accident reports received from Traffic Bureau
- Maintain key files and confidential Police files
- Assist with the hiring and promotional process
- Prepare personal jackets for all new employees
- Maintain personnel files related to work schedule in POSS – (i.e. days worked, days off, holidays, vacation days, etc) for officers
- Prepare letters and memorandums for administrative officers
- Schedule appointments and meetings for administrative staff
- Purge records each year according to the NJ Division of Achieves and Records Management (DARM) schedule
- Collect, organize, and prepare the monthly and annual departmental reports
- Read and sign off on any memos or policies posted on Power DMS when necessary
- Prepare capital and operating budgets annually
- Prepare records for annual audits
- Record and monitor all department budget expenses
- Prepare budget reports as required
- Record and monitor department overtime expenses
- Maintain and disburse petty cash – cash check to replenish petty cash
- Prepare, record, and file all police department purchase orders
- Handle billing inquiries from vendors
- Assist in preparing bid and quotation specifications
- Maintain supplies in Squad Break Room
- Order supplies and other items as directed
- Prepare overtime payroll and school crossing guard payrolls
- Answer administrative telephones and take messages as required
- Coordinate medical and psychological appointments for police and communications officer candidates
- Ensure documentation for police academy candidates is complete and submitted on time
- Other duties as assigned
- Office Suite (MS suite of options – Powerpoint, Excel, Word) and other administrative software platforms
- Ability to learn and utilize municipal and department-specific software systems
- Strong organizational, project management, and time management skills and experience
- Proactive self-starter with integrity, a strong work ethic, and sound judgment
- A positive attitude and commitment to working as a team player in a dynamic and fast-paced environment
- This is an on-site position requiring regular in-person attendance during scheduled working hours with no remote work available
- Confidentiality and professionalism are essential in this role, as the Administrative Coordinator will have access to sensitive public safety, operational and personnel-related information
- Ability to interact with sworn department personnel, civilian staff, municipal officials, outside agencies, and members of the public
- Ability to work independently with minimal supervision while also functioning effectively as part of a professional administrative team
- Familiarity with public safety operations, law enforcement terminology, municipal government, or collective bargaining environments is preferred
- Minimum of 5-7 years of relevant work experience in a professional environment
- Must satisfy employer paid physical, drug screen and criminal background check
- NJ residency required by N.J.S.A. 52:14-7 (L. 2011, Chapter 70)
- Pursuant to Federal Law, proof of US Citizenship or immigration status will be required upon hire
