Overview

The M.S. Chadha Center for Global India (CGI) at the Princeton Institute for International and Regional Studies (PIIRS) is seeking a Center Coordinator (CC) to provide detailed, operational assistance for the CGI during the academic year. The individual will be responsible for a variety of administrative and financial support duties for the Center Manager, and manage all Center-related events, workshops, conferences, and meetings, and provide scheduling and reimbursement support to the faculty director.

The CC will be responsible for the planning and execution of internal and external publicity for the Center events in coordination with PIIRS and other departments.

The position is benefits eligible, 80% time (4 days per week), 12-month position.

Responsibilities
  • Convening and implementing events and meetings
  • Send emails to various stakeholders such as the Executive Committee, External Advisory Committee, and students for recruitment to the PIEP program (on behalf of manager, director, research specialist)
  • Update and maintain Center email lists and weekly newsletters (preparation and distribution)
  • Support center manager in administrative functions such as maintaining records of Executive Committee Meetings, initiating meeting polls and email
  • Process speaker reimbursements and honoraria
  • Organize catering for receptions, presentations, workshops, and colloquia; oversee pre- and post-event preparation and cleanup, organize and run A/V
  • Prepare presentations, gathering relevant material for conferences, etc.
  • Handle all printing and digital distribution of documents relating to committee presentations, workshops, and other meetings
  • Develop high quality print materials/pdfs for events

Communications

  • Coordinate with PIIRS and other university offices to manage event publicity via websites and other forums
  • Edit and post CGI event announcements, short news articles, social media stories and update the CGI website weekly, working with the Manager and Faculty Director
  • Make regular and timely updates to the website and posts to social media

Course and Student Engagement Support

  • Support/lead PIEP at Princeton through student recruitment/outreach, interview scheduling, info sessions logistics support for the field coordinator (if separate from this role)
  • Update the CGI website for campus-wide courses relevant to CGI
  • Maintain the student funding requests and manage annual thesis awards process

Support Faculty Director in CGI communications and activities

  • Manage the Director's reimbursements, correspondence
  • Prepare and reconcile reports for expenses
  • Provide support to the Director's research workshops related to CGI activities
  • Support communications of the Faculty Director
Qualifications

Essential Qualifications

  • Bachelor's degree or equivalent education and experience
  • Experience in events management
  • Knowledge of business process management tools and financial applications like Concur
  • Emails, calendar and Zoom skills to organize faculty or stakeholder meeting times, locations and implement these meetings
  • Lead email newsletters and event campaigns via Constant Contact, Mailchimp, or similar email platforms
  • Ability to multitask and work independently with high attention to detail and follow-through
  • Demonstrated experience with social media or other forms of large scale communications
  • Enjoy working in a fast-paced, project-driven office
  • Ability to tactfully handle confidential information
  • Comfort with Zoom videoconferencing
  • Proficient writing and editing skills in using Microsoft Office Suite, including PowerPoint, Canva (with examples of prior writing or posters)
  • Video and photo editing skills for posters and newsletters desirable
  • Strong work ethic
  • Ability to work flexibly in team based work
  • Experience engaging undergraduate students

Preferred Qualifications

  • Experience with international cultures and regions
  • Interest in India
  • Potential interest in travel to India on CGI work
