Ramboll is seeking a full-time Administrative Assistant to join our Princeton, New Jersey office. This is an opportunity for a highly organized, service-oriented professional to play an important role in supporting a collaborative team within a global engineering and consultancy company. Experience in an engineering, environmental, or consulting environment is preferred, but not required.

We invite you to bring your administrative expertise, attention to detail, and people skills into play as you help keep our office running smoothly and create a welcoming, well-supported experience for employees, clients, and visitors. In this role, you will support day-to-day office operations, coordinate meetings and events, assist with polished client-facing documents, and help ensure colleagues have the resources they need to do their best work.

To succeed in this role, you should be organized, proactive, and comfortable balancing a variety of priorities in a professional office environment. The ideal candidate is resourceful, collaborative, and detail-oriented, with strong communication skills and experience preparing, formatting, or proofreading business documents such as reports, proposals, and presentations.

Your new role

In joining Ramboll, you will become part of an internationally leading company within Environment & Health and a local office where administrative support is valued as an essential part of delivering high-quality work for our clients. You will also be part of a broader administrative community across offices, collaborating with colleagues who support the region and each other with business support requests in addition to local office responsibilities.

Your

key responsibilities will be:
  • Prepare, format, proofread, and edit documents, including proposals, presentations, reports, and other client-facing materials using Ramboll branded templates; review materials for brand consistency, grammar, punctuation, formatting, graphics, and tables
  • Document production, including printing, collating and shipping
  • Organize and support employee engagement activities, client meetings, and internal meetings, including calendar coordination, meeting room and resource bookings, catering, A/V and office equipment support, and meeting space set-up and clean-up
  • Help maintain a professional, organized, and welcoming office environment, including workstations, kitchen areas, conference rooms, shared spaces, and office supplies
  • Process vendor invoices for payment
  • Provide general administrative support to employees and project teams, helping coordinate day-to-day requests and keep work moving efficiently
  • Visitor reception and front-office support, including building access, mail, deliveries, and a positive first impression for guests
  • Assist with employee onboarding and offboarding activities in coordination with internal teams
  • Coordinate travel arrangements and related logistics, as needed
