Office Administrator/ Coordinator, Clerical, Office Assistant
Baker, Donelson, Bearman, Caldwell, & Berkowitz, PC has an opening for an Office Coordinator in its Princeton, NJ office with responsibilities for both our Princeton and Metropark offices. The ideal candidate will be extremely professional, possess exceptional communication and organizational skills as well as excellent computer skills, and have a proficiency in MS Outlook and basic typing skills.
ResponsibilitiesAnswer phones; receive and distribute faxes; greet clients and other office visitors; maintain neatness of the lobby/reception area and conference center; schedule conference rooms and visiting attorney offices including verification of technology and catering needs; handle all office catering needs; assist with office event planning and implementation; process daily client check deposit; input work orders with property management; order building security cards for new employees;
parking validations; maintain office supply and pantry inventory; submit invoices for payment; assist Office Administrator with vendor issues, and additional responsibilities as assigned by Office Administrator. Physical presence in the office is an essential duty of this position.
- Basic knowledge of office equipment, including computer and copiers
- Microsoft program knowledge (Outlook, Word, Excel, PowerPoint, etc.)
- Superior interpersonal skills necessary to communicate and interact effectively with others to build positive and productive working relationships
- Ability to organize and prioritize numerous tasks and complete them under time constraints
- Confidentiality
- Exceptional client service skills
- Working effectively within a group or independently
Office administrative experience (law firm experience preferred but not required). Ability to organize and prioritize numerous tasks and complete them under deadlines; must be proficient in Microsoft office, most specifically Word and Outlook; ability to communicate and follow instructions of office management, attorneys and other legal staff in a fast‑paced demanding environment. Must be willing to learn new tasks and adapt to change easily.
Must provide minimum authorization to work in the United States.

The salary range for this position is $52,800 - $72,000.
