Position SummaryWe are seeking a highly motivated Executive Assistant to join the Early Clinical Development Team. The position provides comprehensive administrative support to senior leadership within the team. The successful candidate must be detail oriented, have strong organizational and coordination skills, and excellent communication skills. They will have demonstrated ability to prioritize, work independently, and learn new tools and systems in an ever‑evolving environment.
The successful candidate will be highly collaborative and comfortable working in a fast‑paced, team‑oriented setting.
- Perform highly diverse and complex administrative functions, including proactive calendar management, travel arrangements, ensuring manager’s meeting preparedness (assemble meeting materials & pre‑reads), and preparing expense reports.
- Demonstrate strong interpersonal skills and diplomacy at all management levels.
- Work with minimal supervision, show strong initiative, and follow up with focus on details.
- Schedule meetings and events, coordinate room schedules, AV assistance, and catering.
- Create purchase orders and assist in reconciling open purchase requisitions.
- Maintain and organize office operations and procedures such as expense reports and requisition of supplies.
- Serve as a key point of contact to resolve payment, invoicing, and ordering issues.
- Support various projects for team leads and external collaborations, including basic project management.
- Assist with onboarding of new hires and HR tasks including submitting job requisitions.
- Partner with other site Executive Assistants as needed.
- High school degree, some college, or a higher degree (desired).
- Minimum of 8 years of executive‑level administrative or comparable experience in a scientific research environment. Experience in pharmaceutical, biotech, start‑up, or venture capital companies preferred.
- Highly proficient with Microsoft Office Suite (Outlook, Word, Excel, PowerPoint).
- Knowledge of Concur, Ariba/SAP, SharePoint, Room Scheduler, Workday, and Microsoft Teams highly preferred.
- Excellent communication skills and ability to work independently and as a collaborative team member.

Starting compensation range applies to full‑time employees. Additional incentive cash and stock opportunities may be available based on eligibility and experience.
