Our client is a well-established professional services organization seeking an organized and personable Office Administrator to support the day-to-day needs of a busy office. This is an excellent opportunity for someone who enjoys being hands-on, interacting with people, and taking ownership of a variety of administrative and operational responsibilities.
The Office Administrator will help keep the office running smoothly by coordinating supplies, vendors, meetings, and general administrative needs. The ideal candidate is proactive, dependable, comfortable juggling multiple priorities, and willing to step in wherever support is needed.
Key responsibilities include:
- Maintain a clean, organized, and functional office environment, including shared spaces and storage areas.
- Monitor office and kitchen supply levels, place orders as needed, and ensure supplies are consistently stocked and organized.
- Assist with day-to-day kitchen upkeep, including maintaining supplies and helping keep common areas orderly.
- Coordinate logistics for internal meetings, office events, and gatherings, including arranging food and catering services.
- Serve as a point of contact for building management, suppliers, and other service providers, helping resolve day-to-day office needs.
- Assist with purchasing and administrative financial tasks, including reviewing expenses, processing invoices, and tracking office-related spending.
- Provide administrative assistance related to technology and office equipment as needed.
- Take ownership of special projects and additional operational tasks as they arise.
- Provide backup front desk coverage, including answering phones and assisting visitors when needed.
- Communicate professionally with employees, vendors, and service providers to ensure requests are handled efficiently.
Qualifications include:
- 1–3 years of experience in office administration, office operations, facilities, or a related area.
- Previous experience in a corporate or professional services environment preferred.
- Strong organizational skills and ability to manage multiple responsibilities.
- Excellent verbal and written communication skills.
- Professional, personable, and approachable demeanor.
- Proactive, dependable, and comfortable taking initiative without constant direction.
- Strong attention to detail and follow-through.
- Comfortable working with vendors and handling day-to-day office logistics.
- Proficiency with Microsoft Office Suite.
- High School Diploma required;
Associate's or Bachelor's degree preferred.
