PositionSummary
We are seeking a detail‑oriented and proactive Office Administrator to oversee and streamline our office administrative and operational functions. The ideal candidate will ensure smooth day‑to‑day business operations, including scheduling top‑management meetings, providing general onboarding support, managing office operations, ensuring compliance with company policies, and optimizing operational processes.
Key Responsibilities- Proactively lead the scheduling, tracking, and rescheduling of top‑management meetings, including but not limited to internal strategic meetings and external meetings.
- Manage travel arrangements and expense reporting for supported personnel.
- Act as the NJ Office Manager: develop & manage the NJ Office supplies budget, maintain supply inventory, identify vendors for office equipment in compliance with corporate procedures, and manage keycard access system for NJ Office personnel.
- Coordinate with department heads to support company‑wide operational needs and streamline workflows.
- Provide general support for the onboarding of new hires, including interfacing with the IT department to enable laptop configuration and setup of Concur system logins.
- Act as a liaison between departments to ensure cross‑functional communication and collaboration.
- Support the senior leadership team with special projects as needed.
- Bachelor’s degree or above in business administration, operations management, human resources, or a related field.
- Minimum of 3 years of experience in administration or operations.
- Strong leadership and interpersonal skills, with the capability to manage teams and influence cross‑departmental operations.
- Excellence in organizational, problem‑solving, and decision‑making abilities.
- Experience in project management and multi‑task management.
- Proficiency in Microsoft Office Suite and office management software.
- Ability to handle sensitive and confidential information with discretion and meticulousness.
- Proficiency with Concur system administration.
- Familiarity with compliance regulations in federal tax administrative operations.
- Fluency in Mandarin.
The expected base salary range for this position is $60,000 - $80,000 annually. Actual compensation will be based on a variety of factors, including but not limited to a candidate’s qualifications, experience, and skills. While most offers typically fall within the low to mid‑point of the range, we may extend an offer toward the higher end for exceptional candidates whose background and expertise exceeds the requirements of the role.
We offer a comprehensive benefits package including 100% paid employee premiums for medical, dental, and vision, STD, LTD, a 401(k) plan with a 50% company match up to 3% and a vesting schedule of 5 years, 15 PTO days per year, sick leave, 11 paid holidays, and additional benefits.
