We are seeking a highly organized and detail-oriented Legal Practice Assistant for ourlong-term client, a prominent law firm offering legal services to businesses of all sizes and individuals across the United States in various practice areas.
This role provides high-level administrative and practice support to attorneys across multiple legal disciplines, ensuring seamless document management, scheduling, client communication, and billing processes. The Legal Practice Assistant serves as a key partner in maintaining efficiency, accuracy, and professionalism within a fast-paced legal environment.
The successful candidate will bring strong technical proficiency, excellent communication skills, and a client-service mindset.
Key Responsibilities- Provide comprehensive administrative support to attorneys in various practice areas, including drafting, formatting, proofreading, and editing legal documents, correspondence, and reports.
- Manage calendars, schedule meetings, depositions, court appearances, client calls, and travel arrangements.
- Assist with attorney time entry and billing using In Tapp and other firm-approved systems.
- Open, organize, and maintain both electronic and physical files using iManage or similar document management systems.
- Oversee secure document management, storage, and retrieval processes.
- Coordinate the filing and service of legal documents with courts, agencies, and registries.
- Serve as a professional and confidential point of contact for clients, handling routine communications.
- Track deadlines and ensure timely filing and delivery of all case-related materials.
- Support conflict checks, client intake, and engagement letter processes using internal systems.
- Collaborate with paralegals, assistants, and other team members to ensure efficient workflow.
- At least 3 years of experience as a Legal Assistant, Legal Practice Assistant, or Legal Secretary in a law firm or corporate legal department.
- Experience supporting attorneys in one or more of the following practice areas:
Bankruptcy, Corporate, Environmental, Litigation, Real Estate, Tax, or Trusts & Estates. - Strong proficiency in the Microsoft Office Suite
, including:- Outlook (calendar and email management)
- Word (advanced formatting and editing)
- Excel (basic formulas, tables, and tracking)
- PowerPoint (preferred, but not required)
- Hands‑on experience with In Tapp (timekeeping and new business intake).
- Experience using iManage or another Document Management System (DMS) for organizing and retrieving legal files.
- Excellent organizational and multitasking skills with the ability to manage competing deadlines.
- Strong written and verbal communication skills, with professionalism in interactions with attorneys, clients, and colleagues.
- Ability to work independently while also contributing in a team environment.
- Prior experience in a mid- to large‑sized law firm or professional services firm.
- Familiarity with billing platforms such as Aderant
, Elite
, or similar. - Understanding of federal and state court filing rules and systems.
- Knowledge of complex document production, versioning, and redlining processes.
- Ability to adapt to multiple attorney work styles and support across disciplines.
- On‑site role based in a professional office setting in northern New Jersey
. - Standard business hours (Monday–Friday), with occasional overtime required to meet deadlines.
- Competitive salary range: $80,000 to $115,000
