Pay Rate: $21.82 per hour - $26.29 per hour (2025‑26 Rate) - Category A

Reports to:
Assistant Director of Early Learning
Job Goal:
To provide organizational support and clerical assistance to the Special Education Department and other designated staff.
- Bachelor's degree in related field preferred. High school diploma or equivalent and training and/or experience as a secretary required.
- Proficiency with software data management, databases, and word processing.
- Working knowledge of basic office procedures, equipment operation, and organizational methods.
- Excellent written and verbal communication skills.
- Strong interpersonal skills and work ethic.
- Experience with or understanding the importance of confidentiality within the workings of a large complex organization.
- Provides administrative support services for the Special Education department and designated staff.
- Provides a welcoming atmosphere, information and assistance to staff, parents and students.
- Provides information and assistance to staff, parents and students.
- Provide support to ensure that the Special Education Department is in compliance with State mandated regulations.
- Create and maintain current student files in multiple software programs.
- Maintain current department timelines for student IEP's and evaluations.
- Facilitate student enrollment changes in the software system(s) and communicate specific instructions to the building administrative assistant.
- Organize, maintain and distribute paper files for Special Education students.
- Provide authorized information to organizations needing student profiles.
- Coordinate student transportation.
- Compile and report data for the purposes of State funding and District planning.
- Schedule, distribute and file agendas and meeting minutes for meetings.
- Schedule meetings with staff and parents.
- Order and distribute Special Education materials, supplies and office equipment.
- Process invoices and monitor budgets.
- Assist in building emergency procedures.
- Perform other duties and responsibilities as assigned.
