The Olson Yoon Group Position Overview

We are seeking a highly organized, proactive, and detail-oriented Executive Assistant & Operations Manager to support Emily and Me. We are proud to be two of the top-performing real estate agents not just in our company, but in the entire state. Because we are each on track to sell between 60 and 70 homes this year—representing around $30 million in sales volume individually (a combined $60 million in volume)—this role is central to maintaining the efficiency, responsiveness, and professionalism of the Olson Yoon Group.

The ideal candidate thrives in a high-performance, fast-paced environment, anticipates needs before they arise, and is comfortable managing multiple priorities with precision. You will play a critical role in client communication, transaction coordination, document preparation, and event planning while helping streamline our day-to-day operations so we can keep scaling.

Key Responsibilities

Transaction Coordination & Document Management

  • Prepare, review, and manage key real estate documents including purchase agreements (offers), counteroffers, amendments, and listing agreements.

Client Communication & Follow‑Up

  • Serve as a primary point of contact for client communication when agents are unavailable.
  • Conduct consistent follow‑up with active buyers and sellers, leads, prospects, and past clients for database nurturing.
  • Schedule and confirm appointments, showings, and meetings as needed.
  • Provide exceptional client service by ensuring timely responses, clear communication, and smooth relationship continuity.
  • Assist in onboarding new clients.

Administrative & Operational Support

  • Maintain and update CRM systems with accurate client and transaction data.
  • Monitor email inboxes and prioritize critical communications.
  • Track performance metrics and assist with reporting and accountability regarding our pipeline, closings, and lead conversion.

Event Planning & Client Engagement

  • Plan and execute our bi-annual client appreciation events.
  • Assist with additional client engagement initiatives such as holiday gifts, pop‑by visits, and community events.
  • Help maintain and grow the team’s brand presence through thoughtful, memorable client experiences.

Marketing & Listing Support

  • Assist with social media scheduling and basic content posting.
  • Ensure property listings are accurate and updated across all platforms.
  • Help manage online reviews and overall reputation management.

Process Improvement & Team Efficiency

  • Identify opportunities to improve operational workflows and systems.
  • Create and refine document templates.
  • Support the agents in scaling the business through organization and consistency.
Qualifications
  • Previous experience in real estate, transaction coordination, or high-level administrative support is preferred.
  • Strong understanding of real estate contracts and processes (or a high willingness to learn quickly).
  • Exceptional organizational and time management skills with high attention to detail and accuracy.
  • Strong written and verbal communication skills.
  • Ability to multitask and prioritize effectively in a fast‑paced environment.
  • Tech‑savvy with the ability to learn and implement new systems quickly.
