Job Overview

The Scheduling Coordinator manages all schedules within Playworks, coordination of PTO requests, and assuring teacher to student ratios are met, schedules teaching team meetings with leaders, training & reflective practice time. Coordinate meetings and ensure all necessary parties are invited and prepared. Works closely with Playworks leadership team to assure daily responsibilities are met within each classroom.

The Work You’ll Do
  • Creates effective classroom schedules to verify there is enough child to staff ratios for high quality early childhood programming.
  • Creating classroom schedules to cover staff PTO requests, verifying that there is always a qualified teacher in the classrooms.
  • Schedules teaching team meetings with leaders, training, meetings & reflective practice time.
  • Creates each classroom student list to show how many students are enrolled in each class.
  • Receives developmentally appropriate input from the teachers to determine who can move up to another classroom to get someone from the waiting list into a classroom.
  • Completes transition classroom student list to help prepare teachers.
  • Coordinate meetings and ensure all necessary parties are invited and prepared.
  • Monitor and adjust schedules as needed to accommodate changes or unexpected events.
  • Communicate schedule changes to relevant parties in a timely manner.
  • Provide administrative support as needed to ensure efficient and effective scheduling processes.
  • Other duties as needed to help the overall success of Playworks.
Job Requirements
  • Bachelor's degree or above in a related field.
  • Minimum of two years of experience in a similar role.
  • Experience working in early childhood program.
  • Strong organizational and time-management skills.
  • Capability to manage competing priorities and handle a fast-paced work environment.
  • Excellent communication skills, both written and verbal.
  • Good interpersonal skills with the ability to build strong relationships.
  • Attention to detail and a high level of accuracy.
  • This position is subject to testing for drugs (THC included) & alcohol in accordance with the Federal Department of Transportation.
  • Ability to move in a variety of motions including bending, squatting, crawling, kneeling, twisting, pulling, and/ or pushing.
  • Capacity to handle and lift up to 50 lbs. as needed.
  • Has the physical abilities to perform the required job duties with or without accommodations, including on feet 80% of time.
