Job Summary:

The Philanthropy Office Coordinator is an entry-level role that provides essential administrative and coordination support to Care New England’s philanthropy leadership team. Reporting to the Senior Vice President & Chief Philanthropy Officer, this position supports principal gift strategy coordination, Foundation Board activities, and internal operations that advance donor engagement and fundraising efforts across the health system.

This role is ideal for a highly organized, detail-oriented professional seeking to begin a career in healthcare philanthropy within a mission-driven, collaborative environment.

Duties and Responsibilities:

Principal Gift & Donor Strategy Support
  • Assist philanthropy leadership with organizing and tracking principal and major gift strategies, proposals, and next steps.
  • Help prepare donor briefings, presentations, and proposal materials to support gift conversations.
  • Maintain organized records related to donor strategies, action plans, and internal coordination efforts.
Foundation Board & Meeting Coordination
  • Support planning and coordination of Foundation Board and committee meetings, including scheduling, agenda preparation, and materials distribution.
  • Attend meetings as needed to take notes, document decisions, and track follow-up actions.
  • Maintain accurate and well-organized board records, calendars, and governance materials.
Internal Coordination & Office Operations
  • Coordinate internal meetings involving philanthropy staff, hospital leadership, and clinical partners.
  • Organize agendas, track action items, and support timely follow-through on assigned tasks.
  • Provide general office coordination that supports donor outreach and fundraising initiatives.
Administrative & Operational Support
  • Assist with scheduling, correspondence, and calendar management for philanthropy leadership.
  • Maintain organized electronic and shared filing systems.
  • Support special projects and initiatives aligned with Care New England’s fundraising and strategic priorities.
Requirements:
  • Bachelor's Degree Required or an equivalent combination of education and relevant experience.
  • Prior internship, volunteer, or administrative experience in a nonprofit, healthcare, or mission-driven organization preferred.
  • Experience supporting executives, coordinating meetings, or managing administrative processes is a plus.
