Job SummaryUnder the general supervision of Personnel management, the Personnel Assistant provides administrative support to the division by assisting with HR-related processes, handling confidential documents, and ensuring clear communications within the Personnel division. Fundamental duties may include maintaining databases, scheduling interviews and meetings, and general administrative support to the Personnel division. This role requires strong organizational skills, a commitment to confidentiality, and keen attention to detail.
Duties & Responsibilities- Assist in the coordination and scheduling of meetings, appointments, and other HR-related inquiries for the office related to recruitment, benefits, and personnel records.
- Provide support for the recruitment and onboarding processes, including initiating correspondence with new hires and external offices, coordinating entrance appointments, and assisting with new hire orientation.
- Deliver smooth and timely communication to employees and stakeholders on a regular basis.
- Ensure operational support is provided to the Personnel office through clear and timely updates.
- Maintain databases and spreadsheets containing confidential personnel information.
- Adhere to all PW safety procedures.
- Perform other related duties as assigned.
- At least two years of higher education in relevant coursework related to human resources, business, or administration OR at least 5 years’ experience in a role involving direct customer/employee support for a middle-to-large scale organization.
- Demonstrated proficient writing skills and knowledge of business English.
- Strong working knowledge of Microsoft Word, Excel and PowerPoint required.
- Strong organizational and interpersonal skills are required.
- Must be available to occasionally attend meetings and perform tasks beyond normal working hours.
- Ability to work as a strategic member of the team and adapt to evolving environment changes.
- Must demonstrate integrity and trustworthiness of character consistent with the highest moral standards, particularly regarding data privacy and confidentiality.
- Must possess and maintain a valid state driver’s license.
- Must be able to perform all essential functions of the job.
