School Clerk (Full Time)

Location:

Providence, RI.

Hours:

7:30 AM – 3:30 PM. This role reports to the Principal and assists the Principal in all aspects of the school.

Education, Training and Experience
  • High School Diploma or GED required.
  • College degree from an accredited educational institution preferred.
  • Must have passed the appropriate clerical test.
Description of Duties, Responsibilities and Curricular Linkages
  • This position is responsible for all clerical functions of the School Office pertinent to the operational requirements established for Lead School Clerk.
Duties
  • Maintain positive and professional staff and customer relationships.
  • Answer phones in a professional manner and direct calls to appropriate persons or take detailed messages.
  • Manage communication of information in and out of the office; prepare correspondence, emails, and memos (paper and electronic).
  • Support office staff, managers, and administrators with general operational tasks; assist and perform general record‑keeping.
  • Assist in any aspect of the departmental operation whenever necessary.
Public Relations
  • Handle telephone calls in‑house and via walkie‑talkie; receive and route calls appropriately.
  • Receive and route mail, packages, and correspondence; prepare affirmative notices, grievances, and reports for state, local, and federal authorities as required.
  • Maintain an up‑to‑date filing system for staff directories, phone listings, student recall listings, waiting lists, and periodic reports.
  • Maintain appointment and meeting calendars and schedules for building, teacher, parent groups, visitors, workshops, etc.
  • Greet and assist all visitors in a positive manner.
Budget
  • Handle ledger activity related to balances, spreadsheets, and word‑processing applications.
  • Update and distribute budget reports.
  • Research data and prepare requisition forms; type requisitions.
  • Maintain purchase‑order files, receiving copies, invoices, and packing slips.
  • Direct payments and route payments for timely processing.
  • Assist the administrator/Principal/Director in preparing the annual budget.
  • Type administrative drafts, tabulations, and calculations.
  • Maintain inventory of office materials, supplies, educational materials, books, postage, health and athletic supplies.
  • Record monthly mileage on appropriate forms and handle reimbursement for staff travel expenses and cab vouchers.
Payroll
  • Prepare and maintain weekly, bi‑weekly, and hourly payrolls for administrators, teachers, clerks, aides, etc., including regular payroll, overtime, workshops, coverage, and breakfast program.
  • Maintain leave forms, address requests, vacation requests, certifications, renewals, and attendance reporting; sort and distribute checks.
Computer
  • Daily attendance, registers, bulletins, via main‑frame hook‑up or independent system for schools; office tasks as required.
Student Processing
  • Documentation for suspensions, parent conferences, referrals, incident reports, academic folders, special‑education folders, nurse visits, transportation passes, field trips, enrollment reports, health cards, rosters, scheduling, grade reporting, report cards, and restricted information.
  • Support paperwork for registration, forwarding public‑relation cards, year‑end reports, recall lists, athletic information, college reference letters, transcripts, locker assignments, student , attendance, exit procedures, testing, late slips, transfer cards, and incentive programs.
Minimum Qualification Standards
  • Excellent secretarial skills, including typing, filing, and records maintenance.
  • Excellent written and oral communication skills with strong English grammar, usage, spelling, and punctuation.
  • Strong interpersonal skills and the ability to maintain composure and professionalism in a fast‑paced and demanding environment.
  • Proficiency, or willingness to attain proficiency, in software applications such as Microsoft Office Suite (Outlook, Access, Excel, Word), Lawson Teachscape, AESOP Attendance System, and Skyward.
  • Proficiency in standard office equipment, including fax, copier, calculator, telephone system, and desktop computer.
  • Complete new‑hire compliance training prior to first day of employment.
