Our client, a boutique wealth management firm, is seeking a Client Services Administrator to become a key point of support for senior investment professionals and their client relationships. This role focuses on managing client communications, coordinating meetings and reporting, and ensuring requests are handled with accuracy, discretion, and a premium level of care. The ideal candidate brings 5+ years of administrative experience within financial services.
Responsibilities- Support multiple senior investment professionals with day-to-day administrative and client service needs;
- Act as a primary point of contact for client communications via phone and email;
- Prepare meeting materials, reports, and tracking lists for client engagements;
- Process client service requests such as account maintenance, transfers, wires, bill payments, and documentation;
- Coordinate with custodians and external partners including accountants and attorneys;
- Maintain accurate records within portfolio and document management systems;
- Assist with quarterly and annual reporting, fee processing, and tax-related workflows;
- Monitor account activity and escalate discrepancies as needed;
- Contribute to special projects and operational initiatives.
- 5+ years of experience providing administrative or client service support in wealth management, finance, or a closely related industry;
- High-touch, white-glove service mentality with excellent written and verbal communication skills;
- Strong organizational skills and attention to detail when managing multiple priorities;
- Comfort handling sensitive and confidential information with discretion;
- Collaborative, warm, and professional work style aligned with a close-knit office environment.
