SUMMARY

Reporting to the Manager of Administration Operations for the Nursing Resource Center, the Nursing Resource Inpatient Scheduler manages all aspects of staffing, scheduling and payroll for all levels of staff in the nursing department. The scheduler organizes and prepares monthly schedules according to budget for patient volume, identifies department-wide and unit-specific deficits created by department vacancy, as well as unanticipated absences.

The scheduler makes arrangements for adequate coverage for each shift, proactively plans future shifts, schedules float and per diem staff, and approves time off for employees. The scheduler enters employee information and work schedules, vacation, and changes into an integrated time and attendance system, processes nursing department payroll, validates all hours, and performs complex clerical functions requiring judgement and knowledge of assigned department systems and operations.

RESPONSIBILITIES
  • Prepare monthly work schedules and ensure compliance with company and industry labor requirements.
  • Complete and review nursing department schedules to ensure all shifts are filled and covered.
  • Review and prepare payroll data for assigned departments, including time sheets, prior week adjustments, off‑cycle check requests, and special pay forms.
  • Ensure payroll data is properly documented and authorized.
  • Review and edit payroll processing, research payroll questions, provide support to resolve payroll issues, and communicate pay policy interpretations with department management.
  • Arrange coverage for unanticipated absences that occur after the department schedule is complete, ensuring cost‑effective solutions and appropriate staffing ratios by working with nursing staff and utilizing per‑diem employees.
  • Utilize the integrated time and attendance system to report, track, schedule and record staff assignments, payroll and attendance activities, update employee information, verify licensure and credentials, and generate management reports.
  • Communicate with nursing managers (Directors, Clinical Managers, Assistant Clinical Managers) to determine whether additional staffing is required and to refer problems needing intervention; confer on Per‑Diem and Float qualification requirements.
  • Update and distribute staffing and payroll reports; identify open staffing slots from sick calls, time changes, leave of absences and vacations, and contact Per‑Diem/Float staff as needed.
  • Schedule secretaries, nursing assistants, and nursing staff for classes, training, and mandatory education, tracking education packets.
  • Understand the hospital’s personnel policies and procedures, as well as union contracts, and develop department schedules aligned with all policies.
  • Operate office equipment such as PCs, applications, calculators, fax machines, and photocopiers.
  • Provide functional guidance to new employees regarding payroll processes, nursing scheduling systems, and department policies.
  • Perform other clerical activities such as daily paperwork, filing, maintaining records, updating manuals, preparing reports, distributing payroll time sheets and payroll advice.
MINIMUM QUALIFICATIONS BASIC KNOWLEDGE
  • A.S. or

    D. in Human Resources, Business Administration, Healthcare Administration, or a related field.
  • Ability to handle stressful situations and multiple demands effectively, demonstrating organizational and problem‑solving skills.
  • Organizational skills to maintain departmental files, records, and statistical data.
  • Proficiency with Microsoft Office Suite and Workforce Management system applications.
  • Proficient typing and computer keyboard skills.
  • Interpersonal skills to interact effectively with a variety of hospital personnel.
  • Analytical ability to arrange schedules considering multiple criteria and priorities.
