Providence Public School District (PPSD) seeks a GUIDANCE/STOCK CLERK who is highly qualified and skillful to join our community of teachers, students and stakeholders. This is an exciting opportunity for clerks who seek a challenging yet rewarding experience.
The Guidance Clerk/Stock Clerk assists in the daily functions of the School Counselor Office and works closely with the main office staff to oversee the stock clerk duties. This position will have complete knowledge of all aspects of school policy and procedures as they pertain to students, parents, staff and principal. Individual tasks, if varied, are assigned in detail with specific instructions.
Work is carefully checked by supervisor for completeness and accuracy.
REPORTS TO: SCHOOL PRINCIPAL

Education Requirements- High School Diploma or GED Diploma required
- College degree from an accredited educational institution preferred
- Must have passed the appropriate clerical test
- Excellent secretarial skills, including typing, filing, and records maintenance.
- Excellent written and oral communication skills, including English grammar, usage, spelling and punctuation.
- Excellent interpersonal skills and ability to maintain composure and professionalism in a fast‑paced environment.
- Proficient or willing to attain proficiency in various software applications, including Microsoft Office Suite, Lawson Teachscape, AESOP Attendance System, and Skyward.
- Proficient in use of standard office equipment such as fax, copiers, calculators, telephone system, and desktop computer.
- Complete new hire compliance training prior to first day of employment.
- Consistently model excellent interpersonal and customer service skills.
- Must be confidential.
- Bilingual preferred.
Duties & Responsibilities
- Maintain positive and professional staff and customer relationships.
- Answer phones in a professional manner and direct calls or take detailed messages.
- Manage communication of information in and out of the office; prepare correspondence, emails, and memos.
- Support office staff, managers and administrators with general operational tasks; assist and perform general record keeping.
- Assist in any aspect of the departmental operation when necessary.
- Unload shipments, verify quantities against invoices or packing slips, and report discrepancies.
- Place products neatly in designated storage areas; replenish shelves as items are used or become out of stock.
- Monitor stock levels, record stock transactions manually or electronically, and notify the head clerk of needed orders.
- Keep storage areas neat, dust‑free, and safe, ensuring proper labeling and accessibility.
- Prepare and distribute weekly stock orders to staff; organize beginning‑of‑year stock for teachers and staff.
- Verify receipt of all ordered items and release invoices for payment once deliveries are complete.
- Telephone – in‑house intercom, walkie‑talkie. Receive and route calls appropriately.
- Correspondence – receives and routes mail and packages; prepare correspondence and forward accordingly (state, local and federal notices, grievances, reports).
- Maintain up‑to‑date filing system: staff directory, phone listing, student recall listings, waiting lists, weekly, monthly, quarterly, annual reports, school board agendas.
- Maintain appointment/meeting calendars: building, teacher, parent groups, visitors, workshops.
- Greet and assist all visitors positively.
- Ledger activity associated with balances, spreadsheets, and word processing computer application.
