Hours: 8:00 A.M. – 4:00 P.M.
Position Type: Full-Time
Salary: $37,602 to $45,255 Per Year
Job DescriptionOpen for lateral internal candidates only. The Senior Guidance Clerk assists the Main Office Staff in all aspects of the Department. This position requires complete knowledge of all policies and procedures regarding schools, students, staff, administration and agencies.

Education Requirements- High School Diploma or GED Diploma required
- College degree from an accredited educational institution preferred
- Must have passed the appropriate clerical test
- Must have excellent secretarial skills, including typing, filing, and records maintenance.
- Must have excellent written and oral communication skills, including excellent English grammar, usage and spelling and punctuation skills.
- Excellent interpersonal skills and the ability to maintain composure and professionalism in a fast-paced and demanding environment.
- Must be proficient, or willing to attain proficiency, in various software applications used to maintain electronic records including Microsoft Office Suite (Outlook, Access, Excel and Word), Lawson Teachscape, AESOP Attendance System and Skyward.
- Must be proficient in use of standard office equipment, including facsimile, copiers, calculators, telephone system and desktop computer.
- You must complete the new‑hire compliance training before your first day of employment.
- Must possess and consistently model excellent interpersonal and customer service skills.
- Must have the knowledge and skills to build positive relationships with people from diverse populations.

- Maintain positive and professional staff and customer relationships.
- Answer phones in a professional manner and direct calls to appropriate persons or take detailed messages.
- Manage communication of information in and out of the office; prepare correspondence, emails, and memos (paper and electronic).
- Support office staff, managers, and administrators with general operational tasks; assist and perform general record‑keeping.
- Assist in any aspect of the departmental operation whenever necessary.
- Telephone—intercom, walkie‑talkie; receive and route calls appropriately.
- Correspondence—receive and route mail, packages; prepare and forward correspondence (state, local, federal notices, grievances, reports, building, health and safety, incident/accident, school/parent notices, fire drills, inspections, proposals).
- Maintain up‑to‑date filing system: staff directory, phone listings, student recall listings, waiting lists, and routine reports.
- Greet and assist all visitors in a positive manner.
- Ledger activity—balancing, spreadsheets, word processing.
- Update and distribute budget reports.
- Research data for preparation and typing of requisitions.
- Maintain purchase order file, receive copies, invoices, packing slips.
- Direct payments, route for payment in a timely manner.
- Assist with annual budget preparation.
- Maintain inventory of office materials, supplies, and other items.
- Mileage—file monthly mileage for reimbursement.
- Prepare/maintain weekly, bi‑weekly, and hourly payrolls for administrators, teachers, clerks, aides, etc.
- Maintain leave forms, vacation requests, certifications, renewals, and distribution of checks.
- Use of mainframe or independent systems for daily attendance, registers, bulletins.
- Other office computer tasks as required.
- Process various student documents and reports across elementary, middle, high, and guidance levels.
- Assist with enrollment, distribution, scheduling, referrals, incident reports, and health records.
- Maintain tracking for athletics, college applications, and incentive programs.
