Group: 3 12 Month 1339 Union Position

The Providence Public School District (PPSD) seeks a highly qualified GUIDANCE/ADMISSIONS CLERK to join the community of teachers, students, and stakeholders. This officer works closely with the main and school counselor office staff to assist in the daily functions and processes, ensuring complete knowledge of all aspects of school policy and procedures as they pertain to students, parents, staff, and principal.

All tasks are assigned with detail and specific instructions; work is carefully checked by supervisor.

Reports To: School Principal

Education Requirements
  • High School Diploma or GED Diploma required
  • College degree from an accredited educational institution preferred
  • Must have passed the appropriate clerical test
Minimum Qualification Standards
  • Excellent secretarial skills: typing, filing, records maintenance
  • Excellent written and oral communication skills, grammar, usage, spelling, punctuation
  • Excellent interpersonal skills; maintain composure and professionalism in a fast‑paced environment
  • Proficient, or willing to attain proficiency, in Microsoft Office Suite (Outlook, Access, Excel, Word), Lawson Teachscape, AESOP Attendance System, and Skyward
  • Proficient in standard office equipment: fax, copier, calculator, telephone, desktop computer
  • Complete new hire compliance training prior to first day
  • Consistently model excellent customer service skills

Responsibilities and Duties
  • Assist administration in coordinating contact with middle schools and guidance counselors regarding admissions process, important dates, and test dates; send applications, coordinate meetings, produce mailings, answer questions to private, parochial, and independent schools
  • Coordinate proctors with administration for all test dates; handle approximately 1,000 applicants; prepare room maps; follow up with middle schools after exams
  • Assist with admissions process, aid admissions committee, coordinate personnel, and support Freshman Orientation (winter and summer)
  • Ensure residency statements and proofs of residency are coordinated with registration office
  • Coordinate and process appeal submissions throughout summer
  • Maintain positive and professional staff and customer relationships
  • Answer phones in a professional manner and direct calls or take detailed messages
  • Manage communication of information in and out of the office; prepare correspondence, emails, memos (paper and electronic)
  • Support office staff and administrators with general operational tasks and record keeping
  • Assist in any departmental operation as needed
Public Relations
  • Handle telephone (intercom, walkie‑talkie); route calls appropriately
  • Receive, route mail and packages; prepare correspondence; forward notices, grievances, reports, building, health and safety incident reports, school/parent notices, fire drills, proposals
  • Maintain filing system: staff directory, phone listing, student recall listings, waiting lists, reports, board agendas
  • Maintain appointment and meeting calendars: building, teachers, parent groups, visitors, workshops
  • Greet and assist all visitors positively
Budget
  • Ledger activity with balances, spreadsheets, word processing
  • Update and distribute budget reports; prepare requisitions, type requisitions
  • Maintain purchase order files, receiving copies, invoices, packing slips; route payments timely
  • Assist in preparation of annual budget; manage inventory of office materials and supplies; handle mileage reimbursement reports
Payroll
  • Prepare and maintain weekly, biweekly, hourly payrolls for staffs; handle overtime, workshops, coverage, etc.
