Job Summary

Reporting to the Manager of Operations of Inpatient Nursing, under general supervision and according to established policies and procedures, schedules all levels of nursing department staff according to budgeted allocations, identifying department‑wide and unit‑specific deficits created by unscheduled absences and vacancies. Arranges adequate coverage for each shift and proactively for future shifts, scheduling float and per diem staff as necessary. Enters employee information and work schedules into the computerized resource management system interfacing to payroll time and attendance.

Processes nursing department payroll, validating worked and non‑worked hours for accuracy. Performs complex clerical functions requiring judgment and knowledge of the department’s systems and operations. Responsibilities
  • Review the nursing department schedule to ensure all work shifts are filled or covered.
  • Arrange mandatory coverage using existing and potential resources, guaranteeing cost‑effective staffing ratios.
  • Understand union contracts (IBT, UNAP) and hospital policies and procedures.
  • Utilize the computerized scheduling system and manual reports to track, schedule, and record staff assignments and attendance activities, updating employee information such as address, hours, skill level, and certifications.
  • Verify and retrieve data, and generate management reports.
  • Collaborate with stakeholders to assist with payroll activities.
  • Communicate with nurse leaders (Directors, Clinical Managers, Assistant Clinical Managers) to determine required staffing and address issues needing intervention.
  • Confirm per‑diem and float qualification requirements with nursing managers.
  • Ensure the department’s scope of services meets the expectations of internal and external customers.
  • Show flexibility and drive innovation to improve operational performance and revenue.
  • Anticipate and respond to changing workloads during crises and emergencies.
  • Exhibit sound decision‑making skills.
  • Monitor staffing to optimize scheduled time and overtime for productivity.
  • Encourage the use of benefit time during periods of low census or workload to assist with cost containment.
  • Maintain confidential information and control the flow of information throughout the department and organization.
  • Reference personnel and payroll policies and union contracts as guidelines for shift assignments.
  • Provide functional guidance to new employees regarding clerical operations, scheduling systems, and departmental procedures.
  • Perform other clerical duties such as daily paperwork, filing, manual updates, and report preparation.
  • Review payroll and staffing reports to verify accurate application of payroll and staffing policies.
Qualifications
  • Bachelor’s knowledge: completion of high school or General Equivalency Diploma.
  • Ability to handle stressful situations and manage multiple demands effectively.
  • Excellent communication and customer‑service skills.
  • Strong multitasking abilities.
  • Organizational skill to maintain departmental files, records, and statistical data.
  • Familiarity with personal computer use and mainframe‑based system applications.
  • Proficiency in typing and computer keyboard skills.
  • Interpersonal skills to interact with diverse hospital personnel.
  • Analytical ability to design schedules considering multiple criteria and priorities.
  • 2–3 years of job‑related experience preferred.
  • Must be comfortable performing frequent fine‑motor‑skill activities.
Work Environment and

Physical Requirements

Must work in a fast‑paced office environment involving urgent nursing staffing schedule changes. Must perform frequent fine‑motor‑skill tasks.

Supervisory Responsibility

None.

Pay Range

$22.04–$36.37
