About the Role
The Project Management Coordinator provides administrative support to the project management team leading construction projects. Duties include project documentation preparation, escalation for commitment, invoice and pay application processing, and financial reconciliations. This position is part of the Project Management function responsible for the management of projects from initiation through completion, and the coordinator will play a key role implementing vendor invoicing in our Enterprise Resource Planning (ERP) platform.
WhatYou’ll Do
- Process vendor invoicing in the D365 business platform.
- Assist with project close‑out processes, including turnover documentation and financial reconciliation.
- Process documentation for project commitments and obtain external quotes.
- Coordinate change orders, change directives, and related notices with consultants and vendors.
- Schedule meetings and communication plans regarding projects among teams and clients.
- Assist with contract administration, including attending tender openings, recording results, issuing letters of acceptance and regret.
- Enter project information and data into project management technology tools.
- Process invoices and pay applications and support project administration deliverables.
- Use existing procedures to solve straightforward problems with limited discretion.
- Deliver own output by following defined procedures and processes under close supervision and guidance.
- Current authorization to work in the United States without the need for visa sponsorship now or in the future.
- High School Diploma or GED with up to two years of job‑related experience.
- Vendor coordination experience, including invoicing and financial documentation.
- Proficiency in Microsoft Office Suite (Word, Excel, Outlook).
- Experience with the D365 or other Enterprise Resource Planning (ERP) platform.
- Experience with project management software is beneficial.
- Ability to follow basic work routines and standards in the application of work.
- Communication skills to exchange straightforward information.
- Strong organizational skills with an inquisitive mindset.
- Basic math skills, including calculation of simple figures such as percentages, discounts, and markups.
The minimum salary for this position is $30 per hour and the maximum salary is $35 per hour. Compensation will be offered based on the candidate’s skills, qualifications, and experience. Successful candidates will also be eligible for a discretionary bonus based on the applicable benefit program.
