Front Desk/Receptionist, Office Administrator/ Coordinator
Lincoln School, founded in 1884, is an independent K-12 Quaker girls’ school in Providence, Rhode Island. Lincoln School seeks two capable, welcoming, and professional part-time receptionists to serve as the first point of contact for students, families, visitors, and employees. Representing the School in a polished, enthusiastic, and friendly manner at all times, the receptionist will greet guests, answer phones, and provide general administrative and clerical support as outlined below. Each receptionist will work a consistent part-time shift as part of a job-share model designed to ensure reliable front desk coverage.
JobShare Logistics
The front desk is staffed Monday through Friday from 7:00 a.m. to 5:00 p.m. during the school year. Each receptionist works approximately 25 hours per week.
Typical shifts are:
- Morning Shift: 7:00 a.m.–12:00 p.m.
- Afternoon Shift: 12:00 p.m.–5:00 p.m.
During school vacation weeks and summer months, front desk hours are typically reduced to 9:00 a.m.–3:00 p.m., and individual schedules may be adjusted accordingly.
Absence & Coverage PolicyThis job-share model is designed to provide continuity and reliable coverage. When one receptionist has a planned absence or unexpected illness, the job-share partner will be asked, when available, to extend their hours and assist with coverage.
Responsibilities- This position requires the ability to sit or stand at the front desk for extended periods while using a computer and phone system throughout the day
- The ability to occasionally lift or move light packages or office materials is necessary
- Greet individuals entering the building (visitors, parents, students, vendors)
- Answer, screen, and forward phone calls while providing basic information as needed
- Receive, sort, and distribute mail and deliveries
- Maintain a tidy reception area
- Support campus safety and security by following established procedures for logging visitors, verifying identification, issuing visitor passes, managing student sign-in/sign-out, and reporting unusual or suspicious activity
- Maintain attendance records for Middle and Upper School students
- Perform clerical duties as needed (faxes, mailings, data entry, etc.)
- Participate in required professional development or training
- Other clerical support duties as assigned
- Uphold the highest standards of work, including handling sensitive and confidential student and family information
- Exhibit a natural ability to model behavior that is mature, professional, ethical, and responsible
- Have the initiative and judgment to problem-solve and prioritize independently
- Strong interpersonal/customer-service skills and a positive disposition are essential to your daily interactions
- Demonstrate a collaborative approach by arriving at work with a willingness to work as part of a team whose objective is to efficiently and effectively support the needs of all Lincoln School constituents
- Make every effort to participate in the life of the school (engaging with the girls, chaperoning, attending plays, events, games, etc.)
- High School Diploma or GED equivalent required
- 3-5 years of proven work experience as a receptionist, front office representative, or similar role
- Experience working in schools is preferred
- Operational knowledge of general office machines and telephone systems
- Excellent phone etiquette and communication skills
- Strong written and verbal communication skills
- Demonstrated ability in utilizing computer software, such as the Google Suite or the Microsoft Office Suite
- Proven ability to work collaboratively and flexibly with a diverse team of teachers and administrators
- Ability to exercise good judgment and discretionary skills in determining when to act independently and when to consult the Administration before taking action
