Executive Assistant to the Provost / Vice President of Academic Affairs

Position Overview

The Executive Assistant serves as a trusted partner to the Provost by managing executive communications, coordinating a complex calendar, organizing meetings and special events, preparing materials for executive decision-making, and ensuring the smooth flow of information throughout the office. The position also plays a key role in supporting important academic processes, including faculty hiring, tenure and promotion, budget administration, and document workflow.

The ideal candidate is an exceptional communicator with outstanding organizational skills, sound judgment, and the ability to manage multiple priorities while maintaining the highest level of professionalism, confidentiality, and attention to detail. This individual thrives in a fast‑paced environment, enjoys solving problems, and takes pride in providing exceptional support to senior leadership and the broader College community.

Primary Purpose

To provide executive administrative support to the Vice President for Academic Affairs and the Presidential Wing, performing organizational, operational, and office management activities with a high level of professionalism, accuracy, and efficiency.

Responsibilities
  • Manage the Vice President’s time commitments, including meetings, appointments, speaking engagements, and travel, according to priority.
  • Assist by obtaining and providing background materials for meetings and appointments.
  • Arrange, schedule, and conduct special events such as meetings, conferences, and social events.
  • Effectively manage the Vice President’s correspondence, ensuring timely responses and follow‑through on decisions.
  • Oversee clerical tasks such as filing, copying, budget management, supplies inventory, and operating office equipment.
  • Screen and interpret telephone calls and other contacts, receive visitors, and refer inquiries to appropriate authorities.
  • Develop and maintain information office resources regarding employee and budget records, ensuring confidentiality.
  • Recruit, supervise, and evaluate student employees.
  • Manage and track the hiring, tenure, and promotion processes.
  • Track the flow of documents and forms through the office for approvals.
Required Skills, Knowledge, and Abilities
  • Highly advanced organizational skills, including planning and executing complex meetings, prioritizing assignments, and meeting deadlines.
  • Excellent administrative skills with knowledge of relevant methods, procedures, and confidentiality requirements.
  • High competency in Microsoft Office Suite and other office technology.
  • Excellent oral and written communication skills, including clear, concise correspondence and policy explanation.
  • Strong interpersonal skills with a professional demeanor and tact when interacting with a diverse population.
  • Ability to remain calm under pressure and maintain a positive professional presence.
  • Adaptability to changing priorities, protocols, and systems.
  • Experience teaching and supervising student employees.
Required Qualifications
  • Education: High school diploma.
  • Experience: At least three years in a high‑paced, complex administrative support position. Advanced competency in Microsoft Office.
Preferred Qualifications
  • College degree from an accredited institution.
  • People Soft training and/or experience.

Work Schedule

Full‑time, 35 hours per week, Monday–Friday, 8:30 AM – 4:30 PM.

Salary

Proposed starting salary range: $60,000 – $70,000.
