OverviewThe Executive Assistant II provides executive-level support to the Vice President for Administration and Finance (VPAF) and the senior leadership team. This role supports calendar management, communications, meetings, and confidential records across a range of functional areas, including finance, budget, human resources, information technology, public safety, dining, and campus services. The position requires discretion, professionalism, and strong organizational skills to support institutional decision-making and the mission of the College.
PrimaryPurpose
Provide executive secretarial level support to the Vice President for Administration and Finance and senior staff by performing organizational, clerical, and office management activities, maintaining confidentiality, and ensuring efficient office operations. Work independently with minimal supervision and interact with the College community and the public.
- Manage calendars (meetings, appointments, travel) according to priorities set by the Vice President and senior staff.
- Screen telephone calls, receive visitors, and provide information on policies and operations.
- Coordinate meetings, including scheduling, notifications, and preparation of materials.
- Prepare requisitions, receiving reports, payroll-related materials, and other documents for procurement and payment of goods and services.
- Type reports, correspondence, meeting minutes, and other documents; create and manage spreadsheets for tracking and analysis.
- Proofread documents and recommend changes in grammar, punctuation, and usage.
- Organize and maintain confidential files (e.g., personnel actions, contracts, legal documents).
- Draft letters and emails for transmission to correspondents.
- Perform related clerical tasks such as filing, copying, managing office budget, maintaining supplies, and coordinating office equipment; initiate requests for goods, services, or information.
- Supervise, and evaluate student employees; assess clerical workload and plan workflow to manage office tasks.
- Highly advanced organizational skills with the ability to plan and execute complex meetings and deadlines.
- Excellent executive secretarial skills, including confidentiality and the ability to follow complex directions.
- Strong typing and proficiency with current office technology (e.g., Microsoft Office).
- Excellent oral and written communication skills; ability to compose routine correspondence and explain policies clearly.
- Professional demeanor and tact in interactions with a diverse population.
- Ability to remain calm under pressure and maintain a positive attitude.
- Ability to sit for long periods with occasional standing/walking; ability to lift up to 30 lbs as needed.
- Ability to convey a positive and professional image for the Office of the Vice President for Administration and Finance.
- Adaptability to changing priorities, protocols, and systems.
Education: High school diploma.
Experience:
- Minimum of five (5) years’ experience in an executive administrative assistant capacity with varied administrative and fiscal duties.
- Proficiency in word processing and general office procedures.
- Strong competency in Microsoft Office and related office technology, spreadsheets and word processing.
An advanced secretarial certificate or degree; bilingual.

Salary and ScheduleSalary Grade 8NC;
Full-time (35 hours/week), 8:30am – 4:30pm. Proposed Starting Salary Range: $65,000–$75,000.
