Darrow Everett LLP is looking for a File Clerk to support the Firm. The candidate must have excellent communication and administrative skills, be highly organized and detail-oriented, be able to multitask without sacrificing efficiency, be responsible, and be able to represent the firm, always, in ways that enhance its reputation.
The Filing Clerk handles both traditional updating of client files and administrative tasks that are specific to the legal field. On an average day, this role will range from creating and maintaining files, creating indexes, scanning legal documents, and maintaining and organizing binders.
Role & Responsibilities:- Sort, label, and file physical and digital legal documents according to the firm’s established procedures.
- Maintain an organized and up-to-date filing system, ensuring documents are accurately placed and easily accessible.
- Assist in scanning, photocopying, and indexing legal documents for electronic filing systems.
- Regularly audit files to ensure accuracy, completeness, and compliance with firm and legal retention policies.
- Prepare closed files for archiving or destruction per firm policy and legal standards.
- Perform general clerical tasks such as data entry, mail sorting, and maintaining file logs.
- Protect the confidentiality and security of all documents and client information.
- Performs other related duties as assigned.
- 1+ years' experience as an administrative assistant or file clerk.
- Familiarity with legal documents and terminology preferred.
- Proficient in Microsoft Office Suite and experience with document management systems (e.g., iManage, Net Documents, etc.) is a plus.
- Able to effectively prioritize and meet deadlines.
- Able to work as a team with attorneys and other colleagues.
- Demonstrate a courteous and professional demeanor.
- Superior written and oral communication skills.
- Ability to sit or stand for up to 8 hours a day.
- Ability to hear and respond to conversations professionally.
- Ability to use a mouse, keyboard.
- Ability to handle varying stress levels (high, very high) and maintain professional composure.
- Ability to lift and move boxes of files (up to 25 lbs.)
