Location: Providence, RI 02903 (Onsite) | Department will pay for garage parking
Pay Range: $27.50/hour
Position OverviewOur client is seeking an experienced and highly organized Executive Assistant to provide critical administrative support to 2 executives within the Office of the Dean. This role will serve as a trusted partner, managing complex schedules, supporting executive communications, coordinating meetings and travel, and ensuring the smooth operation of day-to-day administrative activities.
The ideal candidate is a proactive professional with exceptional organizational skills, strong attention to detail, and the ability to effectively manage multiple priorities in a fast-paced environment.
Key Responsibilities- Manage calendars, schedules, and executive time management.
- Draft, edit, and manage professional correspondence, including emails, letters, and other communications.
- Coordinate and prepare materials for (high level and large) meetings, presentations, and events
- Assist with event set up and clean up.
- Arrange and manage travel logistics and itineraries.
- Maintain filing and front desk receptionist duties.
- Other ad hoc support as needed.
- Attire is business casual
- Highly confidentiality and professional setting
- Will be supporting all levels of "customers" from students to executive levels, government officials, etc.
- Associate degree (AA) or equivalent combination of education and experience.
- 3–5 years of executive assistant, administrative support, or office management experience.
- Demonstrated experience supporting executives.
- Strong calendar management and scheduling experience.
- Excellent written communication skills with experience drafting professional correspondence.
- Proficiency in Microsoft Office Suite and Google Workspace.
- Exceptional organizational, time management, and multitasking abilities.
- Ability to work independently and prioritize competing deadlines.
- Experience coordinating executive meetings and preparing meeting materials.
- Travel coordination and itinerary management experience.
- Event planning or event coordination experience.
- Experience supporting executive leadership within a professional office environment.
- Quick learner who adapts well to changing priorities.
- Strong team player with a collaborative mindset.
- Dependable, punctual, and professional.
- Positive attitude and excellent interpersonal skills.
- Service-oriented approach with strong attention to detail.
