Job DescriptionLa Salle Academy seeks an organized, welcoming, and detail-oriented professional to serve as an Admissions Counselor & Administrative Assistant . This position serves as a core member of the Admissions Office, supporting the day-to-day operations of the department across all stages of the recruitment, admissions, and enrollment lifecycle. Combining significant administrative, database, and clerical responsibilities with frontline customer service, family engagement, and event support, this role serves as a primary point of contact for prospective students, parents, visitors, and guests.

Duties/Responsibilities:
Admissions Office Administration & Operations- Greet prospective families, students, visitors, and guests to the Admissions Office with a welcoming, professional demeanor.
- Serve as the frontline contact for incoming telephone calls and monitor the central Admissions Office email inbox, responding to family inquiries regarding admissions, applications, events, and enrollment in a timely manner.
- Process, audit, and maintain electronic applicant records, including transcripts, recommendations, report cards, testing records, and application materials.
- Review applicant files for missing or incomplete documentation and conduct proactive follow-up with families.
- Enter, update, and manage accurate data within the school’s admissions database and student information systems (Blackbaud).
- Prepare and assemble labels, mailings, folders, briefing packets, name tags, signage, and other admissions materials.
- Provide general administrative and clerical support to the Director of Admissions and other members of the Admissions team.
- Guide and assist prospective families throughout the complete application, shadow, and enrollment process.
- Provide comprehensive information regarding admissions procedures, deadlines, required documentation, and upcoming campus programs.
- Coordinate student visitor programs, including student shadow days and campus visit experiences, aligning schedules with faculty, staff, and student ambassadors.
- Oversee the arrival, daily schedule, and dismissal of visiting prospective students.
- Conduct individual or small group campus tours for visiting families as needed.
- Build positive, responsive, and supportive relationships with prospective students and parents, delivering exceptional customer service.
- Assist with the planning, preparation, and execution of all admissions and enrollment-related events, including Open House, entrance testing, shadow programs, information sessions, accepted student programs, parent orientations, and community outreach events.
- Manage event logistics, including registration lists, room setups, directional signage, volunteer coordination, family communications, check-in, hospitality, and post-event follow-up.
- Education & Experience: Preferred bachelor degree. Minimum 3+ years of experience in office administration, customer service, event planning, or family-facing administrative roles. Previous experience in a school, university, admissions, or enrollment management environment is highly preferred.

Skills:
High proficiency with modern database systems (experience with Blackbaud or similar enrollment management systems preferred), Microsoft Office Suite (Word, Excel, PowerPoint), Google Workspace, and digital document management tools. - Competencies: Exceptional organizational and time-management skills with high attention to detail and accuracy; outstanding written and verbal communication; strong customer service orientation with comfort interacting with parents, students, faculty, and guests; absolute discretion when handling confidential student, family, academic, and financial information; and the ability to balance desk-based administrative tasks with direct, warm public interaction in a fast-paced environment. Preference for bi-lingual Spanish speaker.
