Job Summary
The Supplier/Payee Registration Supervisor directs the registration process for all University suppliers and miscellaneous payees, ensuring compliance with federal regulations, University policies, and data integrity within Workday Strategic Sourcing (WSS). The role administers the WSS system, supports tax form generation, and provides high‑level customer service to key campus departments.
Key Responsibilities- Review and approve supplier and payee records in WSS.
- Maintain data integrity and safeguard PII.
- Coordinate with HR, Payroll, Foreign National Tax, and Strategic Sourcing for classification and compliance.
- Vet suppliers via Visual Compliance and consult Export Control Officer on positive hits.
- Ensure correct supplier utilization per Strategic Sourcing guidelines.
- Monitor integration data between WSS and Workday Financials to resolve discrepancies.
- Provide training, documentation, and support to end users.
- Develop and document internal policies and procedures.
- Create training and communication materials for departments.
- Deliver ongoing training to key departments and end users.
- Collaborate with Workday Operations/OIT to streamline processes and conduct testing.
- Supervise, coach, and evaluate staff.
- Control editing of supplier and payee records following best practices.
- Implement internal audit guidelines, IRS requirements, record retention, and data backup procedures.
- Remove duplicate records, inactivate suppliers, and distribute IRS notices.
- Conduct Workday testing and bi‑annual release testing.
- Bachelor’s degree or equivalent combination of education and experience.
- Minimum 2 years of supplier management or accounts payable experience.
- Experience with federal payment regulations and best practices for supplier and payee record maintenance.
- Proficient in Excel and Google Sheets;
Workday experience preferred. - Strong analytical, organizational, and customer‑service skills.
- Ability to train staff and communicate with all university levels.
- Knowledge of IRS tax forms and Workday procurement functions.
