OverviewThe Grants and Financial Coordinator provides administrative pre‑award and post‑award and financial services to the MMI Department Manager, Chair, Manager of Finance and Administration, Graduate Students, Postdocs, Research Track Faculty, and Tenure Track Faculty who are Principal Investigators (PIs). The position prepares and reviews grant proposals for all department submissions using the HURON grant management tool and sponsor submission tools, coordinates sponsored research funding and contracts, manages award interpretation and compliance, provides budget guidance, reviews expenditures, and handles financial reporting.
The role also serves as a backup HR Coordinator for the department, assisting with staff recruiting posts and reporting on position end dates and costing dates, and advises the grant manager and department manager on items needing attention.
• Pre‑award and post‑award administrative and financial services for grant projects.
• Preparation and review of grant proposals using HURON and sponsor tools.
• Coordination of sponsored research funding and contracts, including award processing and compliance.
• Budget management, expenditure review, and financial reporting.
• Backup HR coordination: posting positions, reporting on staff and postdoc positions, and monitoring costing dates.
• Advising grant and department managers on critical issues and attention items.
Education and Experience:
- Bachelor’s degree (Accounting or Finance major preferred).
- 1 to 2 years of finance and budget experience (preferably in academia or not‑for‑profit).
- Research administration experience highly desired; accounting experience advantageous, specifically with accounts payable, accounts receivable, analysis, reporting, reconciling, and journal entries.
- Or equivalent combination of education and experience.
- Ability to organize and prioritize workload in a multi‑tasking environment while maintaining attention to detail.
- Proficiency in Microsoft Office (Word, PowerPoint), web‑based programs and tools, Google Suite, File Maker, and Adobe Acrobat Pro.
- Excellent math and advanced Excel skills.
- Good customer service skills and positive attitude.
- Effective oral and written communication skills – to elicit and communicate information, analyze data, and prepare/present clear, concise materials.
- File management skills.
- Willingness and interest in continued learning and training opportunities.
- Willingness and ability to work outside regular hours to meet grant and department deadlines.
- Ability to work under pressure in a deadline‑oriented environment.
- Willingness and ability to adapt to change, including software, federal regulations, and university policies.
