Job Description

Department of Molecular Biology, Cell Biology and Biochemistry (MCB) is seeking a Grants and Financial Coordinator or Grants and Financial Specialist. Applicant qualifications determine the grade to be filled.

Grant & Financial Coordinator (Grade
8)

The Grants and Financial Coordinator provides administrative pre/post‑award and financial services to the Department Manager, Chair, Graduate Students, Postdocs, Research‑Track Faculty and Tenure‑Track Faculty who are Principal Investigators (PIs).

Responsibilities include:

  • Assist in the preparation and review of all grant proposals for department submissions using the Huron Research Suite (HRS) and sponsor submission portals.
  • Coordinate the submission of new and continuing grant proposals.
  • Review awards, ensure compliance with award terms and conditions, and provide guidance on sponsored project issues.
  • Manage budgets, expenditure reviews, financial reporting, and participate in training.
  • Monitor department‑related finances and reconcile accounts in accordance with federal and nonfederal guidelines for PIs, Chair, and Department Manager.
  • Communicate award and financial policies to students, faculty, and staff.
  • Use Workday Financials to assist Department and Finance Manager in administering payroll costing, salary reallocations, effort certifications, summer salary, cost shares, cost transfers, journal entries, financial reporting, subcontract requisitions, and expense approvals as cost‑center manager.
  • Handle confidential information and maintain privacy.
Grants & Financial Specialist (Grade
9)

The Grants and Financial Specialist independently manages all matters related to grant administration, both financial and administrative, providing high‑level comprehensive pre‑ and post‑award management, subcontract administration, and financial analysis.

Responsibilities include:

  • Serve as the administrative liaison between the Department, Office of Sponsored Programs (OSP), collaborating institutions, sponsoring agencies and Principal Investigators (PIs).
  • Oversee all financial aspects of sponsored projects, ensuring compliance and accurate reporting.
  • Lead proposal preparation for federal and non‑federal grants using HRS or comparable systems.
  • Coordinate and monitor grant submissions, award reviews, and budget management.
  • Provide guidance on financial matters and maintain up‑to‑date knowledge of research administration and financial regulations.
Job Qualifications (Both Roles)
  • Bachelor’s degree or equivalent combination of education and experience.
  • Preferred degree in Accounting, Finance, Public Health, Biology, Health Science, Science, Engineering, or Math.
  • Experience in research administration, accounting, budgeting, or grant management (minimum 2–4 years for Grade
    9).
  • Proficiency with the Huron Research Suite (HRS) and familiarity with eRA Commons, NSF Fastlane, Research.gov, or Grants.gov preferred.
  • Knowledge of Workday Financials and Microsoft Office suite (Word, Excel, PowerPoint) is required.
  • Strong organizational, time‑management, communication, and analytical skills.
  • Ability to work under pressure in a deadline‑oriented, multi‑tasking environment.
  • Willingness to learn, adapt, and take on increasing responsibilities.
