Summary
Under the general supervision of, but according to established policies and procedures, the incumbent performs various administrative duties to expedite each patient's visit for clinical care. These duties include preparation of patient records; registration and pre‑registration activities; problem resolution; appointment scheduling; and co‑payment preparation and collection. In addition, ancillary duties involve tracking and status of follow‑up care as it pertains to specific diagnostic coding, billing/payment resolution, and generation of system reports reflecting scheduling activities.

- Schedule patients using the hospital’s scheduling system, including appointment type, provider clinic, and appointment time.
- Schedule follow‑up appointments and manage lab work, diagnostic imaging, or referrals.
- Refer technical/clinical inquiries to appropriate personnel.
- Enter diagnosis/service codes from encounter sheets into the online billing system.
- Complete pre‑registration and registration using the online billing system.
- Verify demographic data, insurance authorization, co‑pays, and physician information.
- Collect co‑payments and provide receipts.
- Produce registration cards with the online system and card embosser.
- Photocopy front and back of insurance cards; confirm eligibility; obtain visit authorizations.
- Provide high‑quality customer service to patients and families.
- Mails informational material to new patients ahead of scheduled appointments.
- Contact agencies and third‑party payors for patient information and pre‑authorizations.
- Act as an outpatient center receptionist, make appointment reminders, answer incoming calls, and greet patients.
- Enter diagnosis/service codes, verify appropriateness, and resolve billing issues including denials.
- Obtain and organize medical records; ensure completeness prior to visits.
- Print reports using online scheduling and billing systems.
- Perform duties in accordance with RIH’s mission and administrative policies.
- Handle coding/billing within department guidelines.
- Respond to telephone inquiries from a centralized setting if needed.
- High School Diploma or equivalent.
- Demonstrated PC skills using Windows operating system and accompanying software packages.
- Knowledge of medical billing routines for physician office practice.
- Knowledge of medical terminology, diagnosis codes, and procedure codes.
- Courteous telephone technique and good customer service skills.
Six months experience coding and billing using an online billing system.
Work Environment &Physical Requirements
Walking, sitting, standing throughout the day in a clinic setting.
Pay Range$21.90 – $22.91
