Summary
Under general supervision and in accordance with established policies, schedule outpatient clinic appointments, receive, interview, and register patients, and prepare associated paper and electronic records. Provide customer assistance to patients with limited‑English proficiency by using second‑language skills to explain clinic policies, billing procedures, and to help complete registration forms. Request specialized interpretation when needed through the hospital’s interpreter services. Perform preparation of patient records, registration, pre‑registration activities, problem resolution, appointment scheduling, and co‑payment collection.
Track and report on follow‑up care related to diagnostic coding, billing/payment resolution, and generate scheduling activity reports.
- Schedule outpatient clinic appointments using the hospital’s electronic scheduling system, establishing appointment type, provider clinic, and time.
- Schedule follow‑up appointments and coordinate lab work, diagnostic imaging, or referrals to other medical providers through the online scheduling system.
- Mail informational material to new patients before scheduled appointments.
- Contact external agencies to obtain pertinent patient information and coordinate clinic/treatment programs.
- Contact third‑party payors for required pre‑authorizations in accordance with established policies.
- Enter diagnosis/service codes from encounter sheets into the online billing system, ensuring accuracy and adherence to coding guidelines.
- Obtain and organize medical records for physician and nurse use; verify completeness of patients’ files before clinic visits.
- Make appointment reminder calls and answer incoming telephone calls from patients, physician offices, and other medical providers.
- Greet arriving patients, verify pertinent information, and direct them to the appropriate outpatient center.
- Use non‑English language skills to provide culturally appropriate customer service to patients and families with limited English proficiency.
- Consult the hospital’s interpreter services as needed for complex medical translation and interpretation support.
- Complete pre‑registration and registration processes using the online billing system, verify demographic and insurance information, collect co‑payments, and produce receipts.
- Produce registration cards using the online system and card embosser; photocopy insurance cards.
- Verify patient eligibility with insurance carriers and obtain visit authorizations.
- Ensure all coding and billing duties comply with department policies and procedures; resolve coding errors or omissions with clinic personnel.
- Work with patient financial services to resolve billing issues, including denials, and refer patients to financial counselors when necessary.
- Prepare and maintain reports using the online scheduling and billing systems.
- Respond to telephone inquiries while rotating into a centralized call setting as needed.
- Perform all duties in accordance with the hospital’s mission and established administrative, clerical rules, procedures, and policies.
- High school diploma or equivalent.
- Effective oral and written communication skills, including proficiency in a specified second language suitable for the clinic population.
- One to twelve months of related clerical experience, preferably in a high‑volume clinic setting.
- Familiarity with online computer data entry practices, medical terminology, and clinic billing processes.
- Demonstrated high level of customer service, cultural sensitivity, and effective communication in English and a specified second language.
- Ability to walk, sit, and stand throughout the day in a clinic setting.
Pay Range: $22.35–$23.37
