Position: Workforce Operations & Payroll Administrator (Part-Time or Full-Time)

The Workforce Operations & Payroll Administrator is responsible for coordinating the firm’s workforce administration processes, ensuring the timely and accurate collection of consultant time, payroll submissions, benefits administration, and employee lifecycle activities. This role serves as the operational bridge between consultants, managers, finance, benefits providers, and our outsourced payroll partner to ensure a seamless employee and contractor experience.

The ideal candidate is highly organized, detail-oriented, service-focused, and comfortable managing multiple deadlines in a fast-paced consulting environment.

Key Responsibilities Payroll Administration & Time Management
  • Administer the weekly timesheet collection and approval process for employees and consultants.
  • Ensure core staff payroll (including commissions) is accurate and processed.
  • Monitor time entry compliance and proactively follow up on missing or late submissions.
  • Validate submitted hours and coordinate approvals with project managers and delivery leaders.
  • Prepare and submit weekly payroll files to the firm’s outsourced payroll provider.
  • Maintain payroll records and documentation.
  • Respond to employee and contractor payroll inquiries.
  • Support payroll audits and reconciliation activities as required.
Benefits Administration
  • Coordinate employee benefit enrollments, changes, and terminations.
  • Process qualifying life event changes and employee withholding updates.
  • Serve as a liaison between employees and benefits providers.
  • Support annual open enrollment activities.
  • Maintain accurate benefits records and documentation.
Workforce Operations
  • Support onboarding and offboarding activities for employees and consultants.
  • Maintain workforce records and personnel documentation.
  • Coordinate employee status changes, compensation updates, and organizational changes.
  • Assist with workforce reporting and administrative support.
  • Ensure compliance with company policies and workforce procedures.
Operational Coordination
  • Partner with Finance, Delivery Leadership, and external providers to ensure accurate workforce and payroll administration.
  • Support process improvement initiatives and workforce automation efforts.
  • Assist in maintaining workforce operations calendars, deadlines, and reporting requirements.
Qualifications Required
  • 3+ years of payroll administration, workforce operations, HR administration, or related experience.
  • Experience supporting outsourced payroll providers or Professional Employer Organizations (PEOs).
  • Strong attention to detail and organizational skills.
  • Excellent communication and follow-up capabilities.
  • Proficiency with Microsoft Office, particularly Excel.
  • Ability to manage multiple deadlines and confidential information.
Preferred
  • Experience in a professional services, consulting, staffing, or technology organization.
  • Familiarity with payroll, HRIS or workforce management platforms.
  • Benefits administration experience.
  • Understanding of contractor and consultant workforce models.
