Job Description

TAPA:
Trinity Academy for the Performing Arts is an academically rigorous public charter school for the arts, serving grades 5–12. The Attendance and Truancy Support Assistant reports to the School Culture Coordinator and ensures that every student is present, on time, and connected to school each day.

The Assistant will conduct immediate, consistent follow‑up whenever a student is absent or late. Responsibilities include contacting students and families, documenting reasons, identifying patterns, tracking students near attendance and truancy thresholds, and ensuring concerns receive meaningful follow‑up.

This role is ideal for someone highly organized, persistent, comfortable making frequent phone calls, and able to communicate urgency and care. The successful candidate will build positive relationships with students and families while reinforcing that regular, on‑time attendance is essential. In addition to attendance‑specific duties, the assistant will provide student supervision, classroom coverage, and other school‑wide support as needed.

Key Responsibilities
  • Daily Attendance Follow‑Up
    • Review student attendance each morning and identify absent, late, or missing students.
    • Contact families promptly and document reasons for absences.
    • Follow up with students who arrive late to reinforce expectations, identify barriers, and reduce repeated tardiness.
    • Continue outreach when initial calls, texts, or messages are not answered.
    • Ensure attendance records are updated accurately.
    • Communicate attendance concerns to the School Culture Coordinator and other staff.
  • Truancy Tracking and Intervention
    • Maintain accurate, current records of absences, tardies, family contacts, interventions, and follow‑up actions.
    • Identify students approaching or meeting attendance and truancy thresholds.
    • Prepare attendance summaries, outreach records, letters, and other documentation needed for truancy intervention.
    • Schedule and help prepare for attendance meetings with students, families, and staff.
    • Follow up on attendance plans and confirm improvement.
    • Help identify barriers such as transportation, family responsibilities, health concerns, school avoidance, or disengagement and connect families with appropriate supports.
    • Support home visits or other intensive outreach with designated staff when needed.
  • Student and Family Engagement
    • Build positive, respectful relationships while communicating clear expectations regarding attendance and punctuality.
    • Ensure students understand that their absence or lateness is noticed and that presence matters.
    • Recognize and celebrate improved attendance, punctuality, and consistency.
    • Communicate with families in a persistent, respectful, culturally responsive, and problem‑solving manner.
    • Help students develop practical plans for arriving at school and class on time.
  • School wide Support
    • Maintain a visible presence during arrival, transitions, lunch, dismissal, and other less‑structured times.
    • Help supervise students arriving late and support their transition into class.
    • Provide occasional classroom coverage or additional student supervision as needed.
    • Assist with school culture initiatives, student incentives, assemblies, community meetings, and family events.
