Overview
Under the general supervision of the Food & Nutrition Purchasing Coordinator, the F&NS Stock Clerk receives, processes, and verifies materials and supplies, maintaining inventory and ensuring food safety compliance.
Responsibilities- Unload bulk supplies from loading dock using hand and electric lift trucks.
- Receive materials and verify contents by reviewing against packing slips, receiving slips, purchase orders, and other documentation.
- Unpack supplies and visually check contents for damage.
- Break down bulk quantities into requisition sizes as needed.
- Store supplies in the proper area according to established systems, paying attention to storage or security needs such as refrigeration or freezer conditions.
- Maintain stock areas in a clean and orderly manner.
- Ensure inventory items are rotated as necessary, particularly perishables and items with utilization or expiration dates.
- Notify supervisor of items/products that need to be taken out of service (e.g., wrong product, expiration date, damaged).
- Receive and fulfill requests for materials by authorized personnel, following established procedures.
- Identify, count, and weigh items as required.
- Deliver completed orders to other areas of the department or hospital.
- Continuously monitor consumption of supplies against stock on hand and anticipated shipments.
- Recommend changes in timing of special and standing orders to assure adequate supply of all necessary items.
- Assist supervisor in preparing orders.
- Interact with vendors to check or expedite delivery of orders or to confirm merchandise returns.
- Maintain logs of materials received and issued, and related files of purchase orders, charge information, vendor information, etc.
- Perform other related duties such as answering telephone, relaying messages, conducting stock audits and reconciliations, cleaning work areas, photocopying, and sending faxes.
- Load and deliver individual trucks for each location, ensuring safety and compliance with food safety regulations.
- Monitor temperatures and condition of freezers and refrigerators frequently throughout the day.
- Use cleaning products appropriately per Material Data Safety Sheet (MSDS) and keep refrigerators, machines, and other areas clean according to the most current Rhode Island Department of Health Food Code 2007 regulatory standards.
- Demonstrate knowledge of food quality and safety, reporting products that do not meet specifications.
- Use First In First Out (FIFO) system to ensure food quality by noting dated products needing removal before expiration dates.
- Participate in HAACP/Food Safety Management guideline maintenance for food safety as expected by the department.
- Complete daily, weekly, and monthly inventories with accuracy and enter data as required in the software system.
- Attend department and other training as necessary for job enhancement as assigned.
- High school diploma or equivalent.
- Ability to operate loaded hydraulic and hand trucks.
- Maintain Brown University Health equivalent to the National Safety Council Pallet Jack Certification every three years.
- Read, write, and speak English and perform basic arithmetic computations to verify shipments, complete charge information, perform stock reconciliations, and enter data.
- Clerical ability to maintain files and records of weekly reports and enter data in software systems.
- Interpersonal skills to exchange information with vendors, chefs, supervisors, department employees, and hospital employees during receiving processes.
- Customer service skills to work with the public.
- Self‑starting ability and ability to work independently with minimal supervision.
Minimum of 3 to 6 months experience in ordering or receiving in a related field (e.g., food industry: restaurant, supermarket) preferred.
Work Environment andPhysical Requirements
Prolonged standing and walking, moderate to heavy lifting (75 pounds plus) and pushing to unload, store, and distribute materials. Repetitive bending, reaching, and twisting. Exposure to dust and dirt from packaging, and messes on and in machines. Exposure to fluctuating temperatures of both receiving dock and in‑house refrigerators/freezers (–10°F to warm and cold). Receives and delivers wash and sanitizing chemicals. Adheres to hospital and department care and service standards.
SalaryPay Range: $21.40 – $22.39 per hour.
