Facilities and Office Coordinator

We are seeking a Facilities and Office Coordinator to support the daily operations of our office and ensure a well organized, secure, and welcoming environment for employees and visitors. This position plays a key role in facility oversight, administrative operations, and security coordination while partnering closely with multiple internal teams.

Key Responsibilities Facility Operations
  • Serve as the primary contact for building maintenance, custodial services, and external vendors
  • Monitor service requests and ensure timely resolution
  • Track vendor performance and prepare for upcoming contract renewals
Security Coordination
  • Support the Facility Security Officer with visitor credential reviews and documentation
  • Maintain accurate records within DISS and other required government security systems
  • Assist in safeguarding the facility and protecting classified or sensitive information
Administrative and Office Operations
  • Manage front desk activity and provide a professional experience for guests and clients
  • Oversee day to day office operations, supplies, and equipment needs
  • Direct internal and external communications to the appropriate personnel
  • Maintain organized administrative, personnel, and operational records
People Operations Support
  • Assist with budgeting and payroll related tasks
  • Coordinate interviews, scheduling, and job posting needs
  • Support onboarding and offboarding processes, ensuring accurate documentation and smooth transitions
  • Assist with company events, internal meetings, and special initiatives
Qualifications
  • Two or more years of administrative or operations support experience
  • Strong organization, communication, and time management capabilities
  • Ability to manage confidential information with discretion
  • Proficiency with Microsoft Word, Excel, PowerPoint, and Outlook
  • Experience working in a fast paced and multi priority environment
Additional Requirements
  • Ability to be onsite daily
  • Must complete a Department of Defense Tier 3 background investigation
  • Ability to obtain and maintain a SECRET security clearance
  • SF 86 must be submitted within two weeks of employment
