Position SummaryThe Patient Service Representative II plays a critical role in delivering exceptional administrative support under the supervision of the Practice Director/Supervisor. Acting as the first point of contact for patients, families, external physicians, and the public, this position requires excellent customer service, communication, and problem‑solving abilities.
The representative manages patient interactions through registration, scheduling, billing inquiries, and MyChart assistance, while ensuring required authorizations are secured before appointments. Additionally, the role involves facilitating smooth check‑in and check‑out procedures, collecting payments, updating patient demographics, and collaborating with clinical teams to resolve issues and improve care quality. The representative may also take on assigned tasks, help orient new staff, and assist in other departments to support operational efficiency and enhance the patient's experience.
Responsibilities- Serve as the first point of contact for patients, families, external physicians, and the public.
- Manage patient interactions through registration, scheduling, billing inquiries, and MyChart assistance.
- Ensure required authorizations are secured before appointments.
- Facilitate smooth check‑in and check‑out procedures.
- Collect payments and update patient demographics.
- Collaborate with clinical teams to resolve issues and improve care quality.
- Perform assigned tasks, assist in orienting new staff, and support other departments to enhance operational efficiency and patient experience.
- Education/Licensure/Certification:
High School diploma or equivalent required. - Knowledge:
Minimum of 1 year of previous healthcare experience (Vision, Dental and Veterinary included). - Experience:
Minimum of 1 year of customer service experience, preferably in a healthcare environment; experience with Epic preferred; experience with busy phone lines strongly preferred. - Skills:
Exceptional communication and customer service skills; strong organizational skills; ability to prioritize and manage many details, multi‑task with follow‑through; initiative, quick learning, and team participation; computer proficiency with MS Office Suite (Word, Excel), Google applications, and ability to learn new programs; ability to establish and maintain effective working relationships with all levels of staff, volunteers, and the public; excellent interpersonal skills;
comfortable with people at all stages of health and healing; adherence to HIPAA regulations; ability to verify and process insurance eligibility and obtain authorization requests, including identity verification ( for VA insurance).
