Temporary Position Summary The HR Operations I-9 Specialist (Temporary) supports the university's onboarding process by ensuring compliance with federal employment eligibility verification requirements. This position is responsible for conducting virtual and in-person Form I-9 appointments, reviewing employment authorization documentation, assisting new hires through the I-9 process, and maintaining accurate, confidential employee records. The ideal candidate is detail-oriented, organized, and committed to providing excellent customer service while ensuring compliance with federal regulations and university policies.

What you will be doing in this position

Conduct virtual and in-person Form I-9 appointments with newly hired employees in accordance with federal employment eligibility verification requirements.

Guide employees through the completion of Form I-9, ensuring Section 1 and Section 2 are completed accurately and within required timelines.

Examine employment authorization and identity documents for authenticity, completeness, and compliance with federal Form I-9 requirements.

Review completed Form I-9s for accuracy, completeness, and compliance, identifying and correcting errors when appropriate.

Communicate professionally with new hires, hiring departments, and campus partners regarding I-9 requirements, appointment scheduling, and onboarding procedures.

Escalate complex documentation, compliance concerns, or employment eligibility issues to appropriate HR staff.

Support Social Security Number (SSN) validation processes by reviewing employee information for accuracy, identifying discrepancies, and partnering with HRIS or Payroll to resolve issues as needed.

Perform other HR Operations and onboarding duties as assigned.

What qualifies you for this role Strong attention to detail with excellent organizational and time management skills.

Excellent written, verbal, and interpersonal communication skills.

Ability to manage confidential and sensitive information with professionalism and discretion.

Proficiency with Microsoft Office Suite, email, scheduling systems, and online document management tools.

Ability to work independently while following established procedures and meeting deadlines.

Preferred Qualifications Previous experience in human resources, onboarding, administrative support, customer service, or higher education.

Experience working with Form I-9, E-Verify, HRIS, or electronic onboarding systems.

Familiarity with federal employment eligibility verification requirements and I-9 compliance is preferred but not required.

Typical Starting Pay: $15.50-$19.25

The actual compensation offered will take into consideration internal equity and may vary based on the candidate’s job-related experience, knowledge, skills, and other relevant factors.
