Alpine Air is currently seeking a Scheduling Coordinator to be located at their headquarters in Provo, Utah. The Scheduling Coordinator will be responsible for developing and maintaining pilot schedules for both Base and Floater pilot groups of Alpine Air.
Duties and responsibilitiesThe selected applicant will be responsible for but not limited to the following duties:
- Develop and maintain pilot schedules for both Base and Floater pilot groups.
- Coordinate pilot rotations, travel schedules, hotel accommodations, and transportation logistics for Floater pilots.
- Process pilot time‑off requests, vacation requests, training events, and schedule changes in coordination with Base Flight Management and the Chief Pilot group.
- Monitor pilot duty and rest compliance in accordance with 14 CFR §135.265 and company policies.
- Track cumulative flight time, duty time, rest periods, and days‑off requirements to ensure regulatory compliance.
- Coordinate with OCC, Base Flight Management, Training, and Maintenance to support operational coverage and minimize disruptions.
- Assist with pilot staffing coverage during irregular operations, sick calls, weather events, maintenance delays, and charter activity.
- Maintain accurate pilot schedule records and distribute schedule updates in a timely manner.
- Assist with Pilot Records Database (PRD) submissions, reviews, and compliance requirements.
- Assist with pilot records management, including training records, qualification tracking, employment records, and onboarding/offboarding documentation.
- Coordinate with the Training Department regarding recurrent training, check rides, qualification expirations, and pilot currency requirements.
- Support hiring and onboarding activities by assisting with pilot file reviews and required documentation collection.
- Maintain confidentiality of employee records and company operational information.
- Ensure scheduling practices align with company manuals, FAA regulations, and operational requirements.
- Communicate professionally with pilots, Base Flight Management, OCC personnel, and company leadership regarding scheduling and operational matters.
- Assist in development and improvement of scheduling procedures, tracking tools, and operational reporting processes.
- Perform additional administrative and operational support duties as assigned by Flight Operations management.
Qualifications include:
- Previous aviation industry specific work experience is preferred
- Excellent proficiency in MS Office, especially MS Word (expert level)
- Ability to quickly grasp complex technical concepts
- Excellent time management skills and ability to multi‑task and prioritize work
- Strong organizational and planning skills
- Ability to deliver high quality documentation
- Attention to detail and problem‑solving skills
- Must be able to type 50 WPM
- Excellent written and verbal communication skills
- High school diploma required; BS/BA in administration or relevant field will be preferred
While performing the duties of this job, the employee is occasionally exposed to moving mechanical parts, fumes, toxic chemicals, and heat. The noise level in the work environment is usually low.
This position is a Full‑Time position, 35‑40 hours per week, with competitive compensation and 401k with matching contribution. Paid Time Off, eight paid holidays per year, Medical, Dental, Vision, and Life Insurance are available immediately upon employment.
