Job Summary:
The AEA assists the Division Dean and Department Chairs to meet the needs of each department and/or program across all campuses and all teaching sites. The AEA coordinates instructional delivery, scheduling, enrollment monitoring, course staffing, instructor orientation, student advising, and teaching observations.
Duties & Responsibilities- Supports Dean and Department Chairs with various department operational procedures to include:
- Aligning book orders with course offerings
- Outreach to potential graduates to conduct semester advising
- Complete graduation planning sheets
- Makes purchases according to specific grant guidelines.
- Assists with course schedules when needed.
- Ensures updates of syllabi.
- Uses Navigate software and provides training to staff.
- Collaborates with Department Chairs in the hiring process of new faculty and instructors.
- Confirms that faculty and instructors have the required credentials in accordance with CCCS policies and procedures and initiating this process when faculty and instructors are out of compliance.
- Coordinates orientation of new faculty and instructors to include:
- Assimilating with both college systems, campus expectations, and grading
- Organizes and matches mentors
- Provide direct guidance regarding campus professional development/training
- Refers to additional professional development both on campus and in the community.
- Serves as a liaison between Department Chairs and academic advising on all campuses/sites to ensure updates and changes have been communicated and current information is being delivered.
- Provides academic advising to students.
- Facilitates communication and training with part-time instructors at all campuses/sites.
- Ensures branch campus/site instructors have access to up‑date syllabi, textbooks, instructional supplements, and other department specific resources.
- Coordinates efforts with the division’s Assessment Lead and the department chairs to facilitate the division’s Assessment of Student Learning Plans.
- Conducts classroom observations for part-time instructional staff as needed.
- Works directly with part-time instructors on the Pueblo Campus in gathering data and compiling results.
- Works with Academic Directors on branch/sites in gathering data from part-time instructors and compiling results.
- Gathers employment and wage data.
- Reviews and edits program applications.
- Assesses individual and department work processes and recommends improvements.
- Plans and implements marketing and recruitment for all departments and programs within the division, to include general informational meetings/open houses regarding the educational opportunities within the division on a regular basis.
- Attends College and Division meetings and assists with note‑taking and meeting support.
- Assists chairs with curriculum and program development and processes.
- Partners with departments on special projects and grants as needed.
- Attends College, Division, and Advisory Committee Meetings to assess program compliance with program assurances.
- Analyzes data regarding five‑year trends, identifies barriers to success, sets goals, and develops strategies and interventions.
- Assists Department Chairs with Program Review/Renewals and manages program renewal in the CCCS CTE Gateway system.
- Serves as the Lead Division Academic Advisor when chairs and faculty are not on campus.
- Works independently with little supervision or as part of a team.
- Communicates effectively with students, colleagues, and others.
- Interacts professionally and respectfully with students, colleagues, and others.
- Assesses individual and department work processes and recommends improvements.
- Complies with State Fiscal Rules, State Board policies, System and College protocols, and departmental procedures.
