Position OverviewThe Payroll Specialist is responsible for processing payroll accurately and timely while supporting employees with payroll, timekeeping and benefit related questions. This role maintains confidential employee records and partners with other members of the Human Resources team and hospital managers to support organizational operations and employee experience, and compliance with federal, state, and local regulations.
Responsibilities- Process biweekly payroll accurately and on schedule for all employees.
- Review and audit bi-weekly payroll data, including timecards, earnings, deductions, taxes, garnishments, direct deposits, and leave‑related adjustments.
- Maintain accurate employee payroll, timekeeping, and HRIS records while ensuring data integrity and confidentiality.
- Administer and maintain employee timekeeping records; review, validate, and resolve time entry discrepancies, missed punches, and exceptions.
- Monitor areas such as overtime, meal and rest break compliance, and ensure timely supervisor approval of time records.
- Assist employees with payroll, timekeeping, benefit deductions and vendor communications.
- Resolve manager inquiries related to payroll, benefits, timekeeping, attendance, and leave coding.
- Support payroll reconciliations, month‑end and year‑end activities, including W‑2 preparation and payroll‑related reporting.
- Support and assist in the maintenance, testing, and optimization of payroll, timekeeping, and HRIS systems.
- Support compliance and administration of employee benefits programs, including applicable federal and state regulations (COBRA, HIPAA, ACA, FMLA, and state leave programs).
- Associate degree in Business, Human Resources, Accounting, or related field.
- Computer skills and ability to learn current and future software systems.
- Previous payroll experience in a healthcare setting (highly desired).
- Familiarity with payroll regulations including IRS code, FLSA, COBRA, ERISA, FMLA and related state and federal regulations.
