Job Summary

We are looking for a proactive and detail-oriented Admin and Operations Executive to support daily business operations, administrative coordination, and digital management tasks. The ideal candidate should have good communication skills, basic technical knowledge, and the ability to manage multiple responsibilities efficiently.

Key Responsibilities

Administrative Communication

Handle internal and external communication professionally.

Coordinate with vendors, clients, and internal teams.

Draft emails, letters, and business correspondence.

Maintain records and documentation.

Accounts Communication

Coordinate with the accounts team regarding invoices, payments, and follow-ups.

Assist in maintaining basic financial records.

Communicate with clients/vendors for payment reminders.

Basic Excel & Reporting

Maintain data in MS Excel (basic formulas, data entry, reports).

Prepare simple reports and track business metrics.

Organize and update spreadsheets regularly.

Shopify Backend Management (Basic)

Update product listings and descriptions.

Manage inventory entries.

Process and track online orders.

Coordinate with logistics if required.

Social Media Support

Create and post basic content on social media platforms.

Assist in drafting captions.

Monitor basic engagement and messages.

AI Tools & ChatGPT Usage

Use AI tools like ChatGPT for drafting content, communication, and research.

Assist in improving workflow efficiency using AI tools.

Support the team in generating ideas, captions, or documentation through AI assistance.

Required Skills

Decent written and spoken English.

Basic MS Excel knowledge.

Basic understanding of Shopify backend.

Familiarity with social media platforms (Instagram, Facebook, etc.).

Good working knowledge of AI tools such as ChatGPT.

Strong organizational and multitasking skills.
