Appointment Scheduler / Patient Staffing Assistant
The Appointment Scheduler / Patient Staffing Assistant provides vital administrative and scheduling support to the Patient Staffing Office. This role coordinates staffing coverage, supports workforce scheduling activities, and helps ensure adequate staffing for the Emergency Department, Medical/Surgical, PIP, ICU, and other designated departments. The position also handles high-volume appointment scheduling and patient registration while delivering professional and courteous customer service to patients and clinical staff.
This is a part-time opportunity. Approximately 15 hours per week.
Responsibilities
- Coordinate staffing coverage for the Patient Staffing Office and designated clinical departments, including the Emergency Department, Medical/Surgical, PIP, and ICU.
- Support workforce scheduling activities by organizing and updating staff schedules for assigned departments.
- Communicate clearly and professionally with clinical staff and department leadership regarding staffing needs, schedule changes, and coverage updates.
- Maintain accurate scheduling records and documentation to support staffing and workforce planning.
- Assist with timekeeping processes by supporting the tracking and verification of staff hours as directed.
- Schedule patient appointments efficiently while managing a large volume of incoming calls.
- Perform patient registration tasks, ensuring that required information is collected and accurately entered into the system.
- Provide administrative support to the Patient Staffing Office, including general office tasks and coordination activities.
- Deliver consistent, high-quality customer service to patients, staff, and other internal stakeholders.
- Follow established procedures and guidelines to support smooth operations within the medical office.
Essential Skills
- Experience providing customer service in a professional environment.
- Ability to schedule appointments accurately and efficiently.
- Ability to handle a large volume of calls in a calm, organized, and courteous manner.
- Experience with patient registration processes in a medical or office setting.
- Demonstrated administrative support skills, including organization, documentation, and follow-through.
- Strong verbal and written communication skills for interacting with clinical staff and department leadership.
- Attention to detail and accuracy when maintaining scheduling records and supporting timekeeping processes.
- High School Diploma or GED.
Additional Skills & Qualifications
- Familiarity with medical office operations and workflows.
- Comfort working with scheduling systems and basic office technology.
- Ability to multitask and prioritize in a fast-paced environment.
- No professional license required for this role.
Work Environment
This position is based in a medical office environment and typically requires working approximately 15 hours per week. The role involves frequent phone-based communication, coordination with clinical departments such as the Emergency Department, Medical/Surgical, PIP, and ICU, and regular use of office and scheduling systems. The work setting is professional and patient-focused, requiring a courteous demeanor, reliability, and a commitment to supporting high-quality patient care through effective staffing and scheduling support.

This is a Contract position based out of Putnam, CT.
Pay and Benefits
The pay range for this position is $20.00 - $23.00/hr eligibility requirements apply to some benefits and may depend on your job classification and length of employment.
