Hiring for a Part-Time Scheduling Assistant in Putnam!
The Scheduling Assistant provides administrative and scheduling support to the patient staffing office by coordinating staffing coverage, communicating with clinical staff and department leadership, maintaining scheduling records, supporting timekeeping processes, and assisting with workforce scheduling activities. This role plays a key part in ensuring adequate staffing coverage for the patient staffing office, Emergency Department, Medical/Surgical units, PIP, ICU, and other designated departments.
Responsibilities
- Coordinate staffing coverage for the patient staffing office, Emergency Department, Medical/Surgical units, PIP, ICU, and other designated departments to help ensure appropriate staffing levels.
- Provide administrative and scheduling support to the patient staffing office, including organizing schedules and updating staffing information.
- Communicate clearly and professionally with clinical staff and department leadership regarding scheduling needs, changes, and coverage issues.
- Maintain accurate scheduling records and documentation in accordance with established procedures.
- Support timekeeping processes by assisting with tracking hours, schedules, and related information for staff.
- Assist with workforce scheduling activities, including adjusting schedules and coordinating coverage during peak times or staffing changes.
- Handle a large volume of incoming calls related to scheduling, staffing coverage, and general inquiries, while providing excellent customer service.
- Schedule appointments and staffing shifts in a timely and organized manner.
- Provide general administrative support to the staffing office as needed, including data entry and record maintenance.
Essential Skills
- Strong customer service skills with the ability to communicate professionally with clinical staff and leadership.
- Ability to schedule appointments and coordinate staffing schedules accurately and efficiently.
- Capability to handle a large volume of phone calls while maintaining a calm and organized approach.
- Administrative support experience, including record keeping and data entry.
- Scheduling and coordination skills in a fast-paced environment.
- High school diploma or GED.
Additional Skills & Qualifications
- Comfort working in a medical office or healthcare-related environment.
- Attention to detail and strong organizational skills when managing multiple schedules.
- Ability to learn and follow established timekeeping and scheduling procedures.
- No professional license required for this position.
Work Environment
This position is based in a medical office environment and typically requires 15 to 25 hours of work per week. The regular schedule includes every other weekend from 8:00 a.m. to 4:00 p.m., with a 30-minute unpaid lunch break. On weeks when weekend shifts are not scheduled, the workdays are Tuesday, Wednesday, and Thursday from 8:00 a.m. to 4:00 p.m. During the first month, the training period includes working a few weekdays to train with the weekday manager, as well as every other weekend to train with the weekend team.
The setting is professional and service-oriented, with frequent phone and in-person interactions and a focus on supporting clinical operations through effective staffing and scheduling.

This is a Contract position based out of Putnam, CT.
Pay and Benefits
The pay range for this position is $20.00 - $23.00/hr eligibility requirements apply to some benefits and may depend on your job classification and length of employment.
