We are seeking a detail-oriented Payroll / Accounts Receivable Clerk to support our accounting team. This role is responsible for processing timecards and certified payroll, filing Washington State prevailing-wage documents with the Department of Labor & Industries, and managing day-to-day accounts receivable activity in Vista Viewpoint. The position offers a clear path to take on additional responsibilities as skills and experience grow.
Whatyou’ll do Payroll & Prevailing Wage Responsibilities
- Transfer, review, and process employee timecards for accuracy and completeness prior to payroll.
- Enter and submit certified payroll reports in accordance with contract and regulatory requirements.
- File Washington L&I Intents to Pay Prevailing Wages before work begins on applicable projects.
- Prepare and file Affidavits of Wages Paid upon project completion.
- Maintain organized payroll and prevailing-wage records to support audits, job closeout, and compliance reviews.
- Communicate with operations and project staff to resolve timecard, rate, or classification questions.
- Enter customer payments into Vista Viewpoint.
- Prepare bank deposits and upload check images / remittance documentation.
- Enter Material Sales Tickets and generate invoices for material sales.
- Prepare and send monthly customer statements.
- Maintain a current spreadsheet of all outstanding accounts receivable.
- Maintain a current spreadsheet of outstanding invoices with commentary explaining payment delays and follow-up status.
- Support collections follow-up as directed and keep documentation current.
- High school diploma or equivalent required; associate degree in accounting or related field preferred.
- Prior union payroll, accounts receivable, or construction-office experience preferred.
- Familiarity with Vista Viewpoint (or similar construction ERP) is a plus.
- Working knowledge of Washington prevailing-wage requirements (Intents, Affidavits, certified payroll) is a plus.
- Strong Excel skills, including the ability to maintain accurate tracking spreadsheets.
- High attention to detail, accuracy, and deadlines.
- Ability to handle confidential payroll and customer payment information professionally.
- Clear written and verbal communication skills.
- $30.00 to $33.50 per hr.
