Office Administrator/ Accounts Receivable Specialist
Fully onsite, Puyallup, WA
Direct Hire: $90k
OverviewSeeking a highly organized, detail-oriented, and proactive Office Administrator & Accounts Receivable Specialist to oversee the daily operations of our office and manage accounts receivable functions. This individual will serve as a key point of coordination across operations, finance, vendors, customers, and leadership, ensuring the office runs efficiently while maintaining accurate financial records and supporting healthy cash flows.
Responsibilities- Manage daily office operations, vendor relationships, supplies, equipment, and facilities support to maintain an efficient workplace.
- Serve as the primary contact for visitors, deliveries, office inquiries, and employee administrative needs.
- Provide executive administrative support, including scheduling, travel coordination, records management, and event planning.
- Support employee onboarding, workspace setup, and company engagement activities.
- Oversee accounts receivable functions, including invoicing, payment processing, collections, account reconciliations, and customer communications.
- Prepare AR reports, support month-end close activities, maintain financial records, and assist with cash flow tracking and financial reporting.
- Assist with AP coordination, budgeting, expense tracking, audit-ready documentation, and process improvement initiatives.
- 3–5+ years of experience in office administration, accounting, accounts receivable, or related business operations roles.
- Experience managing invoicing, collections, and AR processes.
- Strong proficiency with Microsoft Office Suite, particularly Excel, Outlook, and Teams.
- Excellent organizational skills and attention to detail.
- Professional demeanor with strong customer service and relationship-management skills.
- Experience with accounting or ERP systems (Quick Books, Sage, Net Suite, Microsoft Dynamics, or similar).
