If you enjoy working with a great group of professionals, thrive in a fast-paced environment, and take pride in being organized and dependable, then we have a role for you! Potelco, Inc. is looking to add a Front Desk Administrator to join our Fleet team in Frederickson, WA.
This position serves as the first point of contact for the fleet maintenance department. It is responsible for coordinating administrative tasks, managing service schedules, maintaining records, and ensuring smooth communication between drivers, technicians, vendors, and management. The hourly pay for this role is $25/hr, based on experience.
What You'll DoFront Desk & Customer Service
• Greet and assist drivers, vendors, and visitors at the front desk.
• Handle incoming calls, emails, and correspondence related to fleet operations.
• Provide exceptional customer service and professional communication across all interactions.
Fleet Administration
• Schedule and track vehicle maintenance, inspections, and repairs.
• Maintain accurate records of service history, work orders, and parts inventory.
• Monitor and update fleet management software and databases.
• Assist with warranty claims, service follow-ups, and work order documentation.
• Support technicians with administrative needs, including documentation and communication.
Compliance & Reporting
• Prepare reports on maintenance activities, costs, and compliance metrics.
• Ensure adherence to DOT, OSHA, and company safety standards.
• Maintain organized files and ensure recordkeeping accuracy.
Office Support
• Perform general office duties such as filing, data entry, and ordering supplies.
• Assist the Fleet Administrative Manager with special projects and operational support.
Minimum Qualifications
- High school diploma or equivalent; associate degree preferred.
- 2+ years of administrative experience, preferably in a fleet, maintenance, or logistics environment
- Proficiency in Microsoft Office Suite and fleet management software.
- Strong organizational and multitasking skills.
- Excellent written and verbal communication skills.
- Knowledge of vehicle maintenance terminology and procedures is a plus.

The anticipated compensation for this position is - depending on experience and qualifications.
