Position: Executive Assistant to the General Management
Location: Québec City

Tasks

  • Provide administrative support to management (preparing and following up on Board meetings, compiling statistics, coordinating with partners).
  • Manage internal and external communications: social media, website, annual report.
  • Participate in HR processes: drafting job postings and contracts, posting positions, onboarding employees, managing group insurance.
  • Contribute to grant applications, fundraising campaigns, and reporting requirements.
  • Represent the organization at events and coordinate representation activities.
  • Oversee building management: follow-up with tenants, inspections, maintenance, and repairs.
  • Provide basic IT support, manage SharePoint and the M365 collaborative environment, set up workstations.
  • Perform any other related duties.

  • Excellent written and verbal communication skills.
  • Proficiency with office tools and collaborative environments (M365, SharePoint, Teams).
  • Ability to manage multiple files simultaneously and meet deadlines.
  • Ease in drafting administrative documents, communications, and internal policies.
  • Basic knowledge of IT support (an asset).
  • Experience in administrative management, communications, coordination, or a similar role.
