About the PositionThe Administrative Assistant supports various departments in their day-to-day operations, assists teams with administrative tasks related to operations and the smooth running of the branch, and serves as the first point of contact for visitors, clients, and suppliers while providing support to the customer service department during peak periods.
Duties and Responsibilities- Act as an ambassador for Mac Lean Engineering when greeting clients, visitors, and suppliers at the branch, as well as over the phone.
- Receive, screen, and direct calls, emails, and requests to the appropriate internal resources.
- Support the administration and human resources departments with various daily administrative tasks.
- Assist the customer service department during peak periods and as operational needs arise.
- Manage office supplies, stationery, and administrative materials.
- Create, edit, and format various administrative documents such as letters, tables, reports, and forms.
- Assist management in preparing reports, follow-ups, and tasks related to occupational health and safety (H&S).
- Maintain organized administrative files and ensure rigorous tracking of documents.
- Help maintain a professional, safe, and welcoming work environment.
- Comply with company policies and procedures.
- Perform any other related tasks associated with the position.
- High school diploma required.
- Training in administration, office automation, secretarial work, or any other relevant training is an asset.
- Training in customer service or equivalent experience is considered an asset.
- Experience in an administrative, reception, or customer support role.
- Excellent communication and customer service skills.
- Ability to multitask and prioritize.
- Strong organizational skills and attention to detail.
- Ability to work independently and as part of a team.
- Proficiency in Microsoft Office (Word, Excel, Outlook).
- Must be bilingual (French and English).
- Experience in a manufacturing or industrial environment is an asset.
