With a network of 35 stores in Quebec and one in New Brunswick, Flordeco continues to grow and evolve in an ever-changing market.

We are currently looking for someone to join our head office team as an Administrative Assistant – Operations
.

Job Description

Reporting to General Management, the successful candidate will play a key role in coordinating internal operations. Organized, detail-oriented and self-sufficient, this person will be able to manage multiple projects simultaneously while ensuring information accuracy and effective follow-ups.

Main Responsibilities Operations Coordination and Support
  • Update the operational calendar and monitor various deadlines on the extranet.
  • Support store owners with their operational needs and follow up on requests.
  • Coordinate various projects and activities related to network operations.
  • Follow up with store owners, suppliers and various internal stakeholders.
Product and Data Management
  • Add, modify and remove products in databases and Surfagest.
  • Maintain up-to-date information related to products, suppliers, SKUs, visuals and other relevant data.
  • Track discontinued products and update their status and inventory-related information.
  • Manage and maintain the affiliate database.
Supplier and Price List Management
  • Receive, process and integrate price list changes provided by suppliers.
  • Follow up with suppliers to ensure information is accurate and up to date.
  • Maintain current information and documents on the extranet.
Communications and Store Support
  • Prepare and distribute flash updates, newsletters and other communications for store owners and internal teams.
  • Provide first-level support to store owners using Surfagest and follow up on any issues encountered.
  • Manage store owner and supplier contacts in Surfagest and Outlook.
  • Prepare and coordinate stationery orders for stores, including shipping and invoicing.
Tools, Documents and Platforms
  • Manage and update the extranet, including panels, supplier names, price lists, flash updates and other documents.
  • Create, modify and remove QR codes as needed.
  • Update planograms and summary tables according to current concepts.
  • Manage and update product labels.
Surveys, Data and Special Projects
  • Create, distribute and follow up on surveys with store owners and partners.
  • Compile and analyze results to identify key trends and relevant information.
  • Prepare documents and coordinate mailings required for various projects.
  • Participate in special projects and perform other operations-related duties as required by management.
Job Requirements
  • Strong organizational skills and attention to detail.
  • Proficiency with digital tools, including Surfagest, the extranet and Microsoft Office.
  • Experience with database management.
  • Ability to work independently.
  • Ability to collaborate effectively with multiple teams simultaneously.
Required Qualifications
  • College diploma or vocational diploma in administration, management, office administration or a related field.
  • Additional training in communications, marketing or data analysis is an asset.
  • 2 to 5 years of experience in a similar role.
  • Experience in retail or a multi-department environment is an asset.
  • Proficiency in Microsoft Office,
    advanced Excel skills
    , Google Workspace, collaborative tools and Asana.
  • Excellent written and verbal communication skills in French. Functional English is an asset.
  • Ability to interpret data and work effectively under pressure.
  • Strong analytical skills and a proactive approach.
